Job Title: Customer Service Representative/Order Management Job Description ORDER ENTRY:
- Enter repeat work orders (sales will enter new orders that require new pricing)
- ENTER BALANCE ORDERS
- ENTER LABEL WOs
- ENTER MISC WOs
- ENTER CREDIT MEMOs
NEW ORDERS ENTERED BY SALES REP: (not yet WIP):
- Confirm label PS code status and quantity
- Apply PS codes to WO as directed by Rep for inserts or other components
- Review ETA listed by sales rep and change as needed
- Confirm all items listed under product/services tab are correct to reflect accurate pricing/quantities
- Request new PS codes and add to WO as needed
- Evaluate labels or other customer supplied components BEFORE moving to WIP. Send a component request email to customer outlining this information and continue following up to receive components.
ORDER CONFIRMATIONS:
- Send initial order confirmation to customer for approval
- Update customer's order based on their response to order confirmation
- Upload new customer documents to customer profile such as CC auth forms, credit applications, insurance certificates, signed PO or OC's
- Update customer profiles to ensure contacts and general information are up to date and accurate
- Make sure all correct components are printable on order confirmation
- Check all entered orders, PO against WO, send customer OC and turn to WIP
- Follow up with customer until order is confirmed
PAYMENTS:
- Send Pre-Payment and Balance Due Requests
- Receive payments from customers
- Process CREDIT CARD and E-CHECK payments
- Follow up with customer until order is paid
ORDER STATUS:
- Monitor orders and adjust ETAs accordingly
- Notify customer of any delayed ETAs
- Add status comments with updates to orders
- Work with purchasing, production, accounting, logistics and sales reps to keep order on schedule
UNSHIPPED WIPs
- Review, follow up on and update all UNSHIPPED WIP WOs
A/R STATEMENTS
- Send A/R Statements to customers with a PAST DUE BALANCE
- Follow up on payment
SAMPLE REQUEST:
- Enter sample requests
- Request samples
- Create UPS Labels
- Show rep prototype of sample, kit and ship
DOCUMENTATIONS
- Send customer spec sheets, COA's or any type of material related documentation (GMO, supplement facts, allergen, etc.)
- Create QC REQUESTS for any documentation needed
Hard Skills - 3+ years of customer service experience
- Experience with a manufacturing company
- Experience with ERP system (they use a homegrown system)
Work Site This is a fully on-site position in Fairfield, New Jersey.
Work Environment Need to be onsite at Clifton, NJ office 5 days a week. Monday-Friday 8am-5pm.
