General Position Summary : The Human Resources Coordinator is responsible for supporting various HR functions and ensuring efficient and effective administrative operations within the human resources department. This role is ideal for someone with strong attention to detail, excellent communication skills, and a passion for human resources. The HR coordinator develops and maintains positive internal and external relationships with a variety of stakeholders to coordinate people and resources for projects, meetings, events, and conferences. We are seeking a highly motivated, detail oriented, and organized professional looking for an opportunity to learn and work in a dynamic office environment. This position reports to the Human Resources Manager but works closely with and may take direction from other HR staff.
Major Duties and Responsibilities (The examples provided do not cover all of the duties which the incumbent of this position may be required to perform.)
- Assists with posting job openings, screens resumes, and schedules interviews;
- Coordinates new hire onboarding activities ensuring all necessary paperwork is completed and filed;
- Assists with all open recruitments as needed;
- Reviews, tracks and confirms receipt of judicial salary declarations;
- Reconciles monthly vendor retiree life insurance invoices with internal documentation;
- Handles day-to-day HR administrative tasks such as filing, data entry, and document management;
- Works with HR Director or HR Manager to plan and schedule all staff development opportunities/trainings;
- Coordinates training programs and workshops, including scheduling sessions and communicating date and location to all attendees;
- Tracks attendance at training events, coordinates and transports any handouts or training manuals and refreshments for the event;
- Monitors event budget, reviews event bills for accuracy and submits for payment;
- Processes all invoices relating to the training;
- Prepares reports related to HR metrics, such as turnover and recruitment statistics, as needed;
- Creates new and monthly reports as directed;
- Assists with HR related correspondence, including drafting letters, emails, and announcements;
- Schedules meetings, interviews, and appointments for HR team members;
- Updates various directories including phone lists, vendor lists and photo directory;
- Assists with administrative support, including phone and office coverage, scheduling meetings, and calendar management;
- Coordinates information for weekly electronic newsletter;
- Orders recognition plaques including retirement plaques;
- Prepares awards and certificates for various committees including year of service awards needed on a yearly basis;
- Coordinates and orders nameplates for new employees;
- Other duties as assigned.
Minimum Qualifications The Idaho Courts reserve the right to consider an equivalent combination of education, training, and/or experience necessary to successfully perform the major responsibilities of the position.
Education and Experience:
- Associate's degree or equivalent required, preference may be given to individuals with a Bachelor's degree in Human Resources, Business Administration or related field of study;
- Three years of experience in human resources, administrative support, or other relevant experience.
Knowledge, Skills, and Abilities - Ability to handle confidential information with professionalism and discretion;
- Knowledge of English grammar, punctuation and spelling;
- Knowledge of general office practices and procedures;
- Knowledge of and ability to use MS Office products such as Word, Outlook, Excel, Publisher, and Power Point;
- Knowledge of Human Resources practices and procedures;
- Skill in corresponding with executives and/or elected officials;
