Job Description

Our client, a prominent educational institution, is seeking a proactive and detail-oriented Receptionist, for their Career Development Team, to serve as the first point of contact for students, alumni, and employers. This role combines excellent customer service with administrative and technical support, ensuring the smooth operation of the office and its services.

**Please note that this is an on-site, 3-month contract role, with the possibility of extension. The pay will be $25-30/hr**

Key Responsibilities:

  • Serve as the main reception for the office, addressing inquiries, scheduling appointments, and managing phone calls.
  • Provide guidance and resources to students, alumni, and employers regarding job postings, office programs, deadlines, and other career-related opportunities.
  • Assist a team of approximately 10 staff members with administrative needs, including processing invoices and purchase orders.
  • Maintain office supplies and manage departmental publications and the office library of resources, including a video library of events.
  • Oversee and troubleshoot online platforms, including appointment scheduling systems, room reservation software, and the online job board.
  • Support data entry projects, such as tracking job listings and maintaining databases.
  • Schedule and coordinate events, including room reservations and event logistics.
  • Design and distribute promotional materials and signage for events.
  • Track data related to office-sponsored events for reporting and evaluation purposes.

Qualifications:

  • 1-2 yrs of corporate experience.
  • Exceptional interpersonal and communication skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in office software, online scheduling platforms, and data management systems.
  • Experience in customer service and event coordination is highly desirable.
  • Ability to multitask in a fast-paced environment while maintaining professionalism.
