The Contracts Clerk will be responsible for supporting the contract management process, ensuring accuracy and compliance with company policies and legal requirements. Responsibilities :
Contract Administration :
- Assist in drafting, reviewing, and finalizing contracts and agreements under the guidance of senior staff.
- Maintain accurate records of all contracts, including amendments, extensions, and terminations.
- Ensure all contracts comply with company policies and legal requirements.
Document Management :
- Organize and maintain physical and electronic files for contracts and related documents.
- Retrieve and provide requested documents to internal stakeholders and external parties as needed.
- Ensure confidentiality and security of sensitive contract information.
Communication and Coordination :
- Serve as a point of contact for contract-related inquiries and communications.
- Collaborate with internal departments, including legal, finance, and operations, to facilitate contract processes.
- Assist in scheduling meetings and appointments related to contract negotiations and reviews.
Contract Review and Analysis :
- Conduct initial reviews of contracts to identify key terms, obligations, and deadlines.
- Prepare summaries and reports on contract status, milestones, and upcoming renewals.
- Assist in identifying risks and opportunities associated with contract terms and conditions.
Compliance and Reporting :
- Monitor contract compliance and deadlines to ensure timely renewals and adherence to obligations.
- Assist in preparing periodic reports on contract performance and metrics.
- Support audits and reviews of contract documentation as required.
Administrative Support :
- Provide general administrative support to the legal and contracts team, including data entry and filing.
- Assist in preparing correspondence, presentations, and other documents as needed.
- Perform other duties and special projects as assigned by management.
Qualifications :
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Proven experience in contract administration or a related field is a plus.
- Strong organizational and time management skills.
- Attention to detail and accuracy in data entry and document management.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a team environment.
- Experience with inventory management
