Job Summary
Our Service Coordinator, uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and email. Maintains files, records, calendars and diaries. May arrange business travel, coordinate meeting arrangements, and/or track expenses. Must have ability to learn and execute all functions of Customer Service team: dispatch, contracts administration, CSR, AR/AP
Essential Duties
Maintain daily communication with internal and external customers to address inquiries and provide updates. - Answer phone calls and dispatch work requests to appropriate team members.
- Delegate tasks to administrative staff to ensure efficient workflow and completion of duties.
- Support achievement of key performance indicators (KPIs) and prepare regular reports for management on project completion, hours, and aging work orders.
- Create, update, and manage standard operating procedures and documentation, ensuring accuracy. Compile documents for New Partner Orientation and Safety binders.
- Utilize the Computerized Maintenance Management System (CMMS) to monitor work order status, update stakeholders, and ensure compliance.
- Aid in the procurement, setup, and management of IT equipment and related access needs.
- Provide support with the process of expense reports, and assist with inquiries related to the work order system.
- Perform other duties as required.
Minimum Requirements
- High School Diploma or GED
- Excellent communication and interpersonal skills
- Attention to detail
- Ability to manage and protect confidential information
- Must be able to remain in a stationary position for prolonged periods of time.
- Ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
