The Maintenance Coordinator provides direct support to the Safety & Maintenance Manager and to the department in general. Primarily responsible for ordering, organization and internal distribution of maintenance parts and office supplies.
What you can expect:
Responsibilities include, but not limited to the following:

  • Create work orders in CMMS (Computerized Maintenance Management System)
  • Prepare and maintain preventative maintenance work orders in CMMS. Generate reports for WO completion rates and provide updates to maintenance team
  • Assist with scheduling, planning and project activity
  • Maintain catastrophe prevention, emergency instruction and MSDS binders
  • Provide administrative support to the Safety & Maintenance Manager where needed
  • Create purchase orders for equipment, tools, parts, rental equipment and vendor services and operational materials. Maintain an accurate PO# issued list and update with invoices as they get paid
  • Open tickets and follow-up on ongoing issues with controls support teams (Bastian, Honeywell, etc.)
  • Order office and maintenance supplies
  • Coordinate vendor activity and communicate needs to maintenance and facilities teams: Ensure Housekeeping supplies are on hand as needed, changing work schedules for building openings, Work needing to be performed by inspectors and repairmen
  • Use SAP to code vendor invoices to the correct departments and route for payment
  • Pull invoices on a quarterly basis and comparing to outstanding PO# records to plan for financial accruals
  • Schedule and document all annual, semi-annual, quarterly, monthly and weekly service dates on all equipment
  • Other functions, as required
Your profile:
  • High School Diploma or equivalent required
  • 1+ year's clerical experience, preferably in a maintenance environment
  • Able to work flexible hours; overtime may be required
  • Willingness to take on new challenges and expand beyond current role
  • Effective written and verbal communication skills; able to effectively communicate with multiple levels of the organization
  • Fantastic team player, able to partner with associates throughout the organization
  • Experience with MS Excel & Word
