Summary The HR Assistant performs a support role for the HR Shared Services Team and carries out a variety of administrative level functions to include customer service, reporting, file maintenance and data entry. This position will interact daily with their team within HR Shared Services as well as the local HR teams to provide support and be a resource for operational and administrative needs.
Duties and Responsibilities - Upload, retrieve and maintain electronic personnel files.
- Periodically audit employee files to ensure all necessary documents have been uploaded.
- Perform data entry in HRIS system (SAP Success Factors) from new hire paperwork entries when onboarding is complete, as well as other data entry when necessary or requested.
- Prepare upload files for bulk information updates into HRIS system, auditing necessary information after upload to ensure accuracy.
- Manage unemployment cases and wage audits in ADP, coordinate hearings with local HR teams, and gather information needed from HR Business Partners to ensure timely and accurate responses.
- Prepare and disseminate various daily, weekly, monthly and quarterly reporting, as well as ad-hoc requests.
- Identify new hires who will need a state wage notice, then prepare, send, track return of the document with signature, and upload to electronic personnel file.
- Send monthly birthday emails.
- Prepare anniversary cards, obtain signatures and mail to sites.
- Perform data entry into Hire Right's system to obtain random drug screening forms.
- Prepare visa/travel verification letters when requested.
- Research employment records from various sources to process verification of employment requests.
- Receive tickets in the helpdesk and provide impeccable customer service with detailed, timely responses, and assign tickets to appropriate team members.
- Manage the security badges for the headquarters office.
- Support other HR areas and special projects as needed.
Required Educational Background and Work Experience - Two years' experience working in a human resources, or four years in an administrative role required. Prefer experience working within an HR Shared Services team and/or for a large employer.
Required Skills and Competencies - Proficiency in basic MS Office applications
- Must have excellent organizational and time management skills
- Possess an enthusiastic and positive attitude towards learning and growing a career in the HR field
- Able to multi-task across multiple projects with varying deadlines
- Attention to detail and ability to establish priorities and meet deadlines
- Good to excellent spelling, grammar and written communication skills
- Ability to maintain a high level of confidentiality
- Must be able to work with ambiguity, cope with change, and be adaptable to shifting priorities
Preferred Skills and Competencies - Intermediate Excel skills
- Experience using HRIS systems (SAP Success Factors or ADP WorkforceNow a plus)
Language Skills Required - English (reading, writing, and verbal) required.
- Spanish speaking and writing are a plus.

For this position, the expected base pay is:
$20.75 - $25.00 / Hourly . Actual base compensation will be determined based on various factors including job-related knowledge, geographical location, skills, experience, and other objective business considerations.
