NA B2B Project Specialist
We are looking for a skilled, organized, and resourceful individual to join the Business-to-Business (B2B) team to help advance our capabilities in North America. In this role, you will assist and collaborate with the project manager and sales leaders to support the organization and oversee ad hoc projects. The ideal candidate has some project management experience, strong prioritization and communication skills, and the ability to meet deadlines. This role reports directly to the North America B2B Project Manager.
Responsibilities:
  • Administrative Support : Efficiently manage a variety of administrative tasks to streamline operations and enhance team productivity. Including serving as a resource for the B2B team by addressing inquiries and providing relevant information.
  • Organizational Management : Maintain and update the organizational chart while facilitating effective internal communications for the North America B2B team.
  • Onboarding Facilitation : Collaborate with managers to ensure smooth onboarding experience for new employees, fostering a welcoming environment.
  • Event Coordination : Lead the planning and organization of internal events, including budgeting, partnering with stakeholders across the org, and liaising with external vendors to ensure successful execution
  • Visitor Management : Coordinate office arrangements for visitors, ensuring a positive and professional experience
  • Meeting Scheduling : Schedule and manage large-scale meetings, establishing regular meeting cadences as necessary to support ongoing collaboration.
  • Project Support : Assist the project manager with various initiatives, focusing on documentation and handover processes through the lens of the 7C's framework (Customers, Competitors, Capabilities, Cost, Channels, Communication, Coordination). Collaborate with B2B team to share insights on pertinent projects to foster a culture of transparency and teamwork.
  • Sales Support : Partner with sales managers on special projects to enhance operations and drive team success
  • Ad Hoc Project Oversight : Take the lead on and execute various ad hoc projects as needed, ensuring alignment with organizational goals.
  • Cross-Functional Collaboration : Work closely with cross-functional partners to develop and implement reporting capabilities that support strategic initiatives
Qualifications:
  • High school degree
  • 1+ years of work experience and interest in project management experience a plus.
  • Strong organizational skillset with the ability to effectively manage priorities and risks.
  • Ability to listen, be resourceful, and interpret information from a variety of sources.
  • Excellent written and verbal communication skills.
  • Computer skills to include navigational ability in a networked environment and proficiency in Microsoft Word, email applications, and project management tools (Monday.com and Smartsheet). Intermediate to advanced skills in Microsoft Office Products.
  • Due to global scope of the role working across time zones, flexibility around working hours is required.
Job Requirements:
  • Comfortable with presenting to both customers and internal leadership and speaking to large audiences.
  • Proficient in English (oral and written)
  • Strong ability to work together and to deliver insights within own organization as well as with other departments within Circle K.
  • Ability to meet targets, delivering results and meeting expectations, via both in person, virtual and digital communications.
  • Influential and ability to represent Circle K in seminars and larger gatherings.
