Job Description

JOB TITLE: Agency Management Coordinator

LOCATION: Chicago, IL (50% onsite)

DURATION: 12 months

RATE RANGE: $50-$54/hr


SUMMARY:

The Agency Management Coordinator will provide operational support for global agency management initiatives, focusing on tool evaluation, strategy implementation, and process standardization across regions (NA, EMEA, APAC, and Japan). This role will support key priorities while ensuring consistent communication and data management across all regions.


Key Responsibilities Include:

1. Agency Tool & Process Management

  • Support and maintain user feedback databases and tool requirements across regions
  • Help gather and organize performance metrics and user satisfaction data
  • Assist in preparing monthly usage reports
  • Support global process standardization initiatives

2. Strategic Project Support

  • Support regional agency strategy pilots
  • Help coordinate stakeholder communications across multiple regions
  • Assist in preparing monthly progress reports
  • Support implementation of new processes and guidelines

3. Agency Roster Management

  • Maintain and update agency capability documentation
  • Help gather market research for agency evaluation
  • Support coordination of agency performance reviews
  • Help maintain action plans for agency relationship management

4. Process Development & Implementation

  • Help maintain agency management principles documentation across global regions
  • Support standardization of processes across various agency types
  • Assist in maintaining relationship management guidelines
  • Support consistent implementation and documentation across regions

Additional Responsibilities

  • Schedule and coordinate team alignment meetings
  • Track project timelines and milestones
  • Help prepare quarterly initiative reports
  • Support special projects as needed

QUALIFICATIONS:

  • Minimum 3+ years experience working at a marketing, creative, or media agency required
  • Previous experience in account management, traffic, or project management roles preferred
  • Experience supporting agency pitch processes and RFPs
  • Basic understanding of agency service models and SOWs
  • Experience working with global teams across multiple time zones
  • Strong organizational and project coordination skills
  • Proficiency in Excel and data management
  • Strong written and verbal communication skills
  • Bachelor's degree in Communication, Marketing, Business, or related field
