We are looking for a dynamic Office manager that comes from the construction background for a growing business.
Responsibilities
- Accounting
- Ensures payroll and equipment data is entered
- Prepares and audits A/R and A/P invoices
- Prepares expense reports
- Tracks purchase orders
- Sets up and maintains contract management in Street Smarts
- Prepares and follows up on aged accounts
- Enters end-of-month estimates and data
- Reconciles checkbook, petty cash and end-of-month data
Communication
- Prepares weekly notes by division
- Makes travel arrangements, prepares for on-site visits
- Communicates changes in policies and procedures to Teammates and customers
- Coordinates community events and Teammate meetings
Human Resources
- Inputs Applicant and Teammate data into Streets Smarts system
- Manages attendance tracking
- Assists Teammates with benefit information
- Prepares files when Teammate evaluations are due
- Maintains local Teammates files
- Prepares termination documents
Celebrate the Customer
- Acts as contracts liaison with customer
- Maintains customer/vendor list
- Maintains customer files
- Maintains subcontractor agreements, background check and insurance verification
Develop and Manage Teammates
- Screens and interviews candidates for office staff
- Coaches and provides training for Teammates
- Monitors opportunities for development
Administration
- Ensures office equipment is operational
- Controls local overhead costs
- Maintains appropriate supply of office materials
- Provides administrative support Safety Coordinator and Fleet Manager
- Maintains local business licenses
