Job Summary:
Vaco isseeking a detail-oriented and motivated Accounts Payable Specialist with experience in Concur, journal entries, and advanced Excel skills. The ideal candidate will be responsible for managing the company's accounts payable process, ensuring accurate and timely payments, and maintaining financial records. This role requires excellent organizational skills, a high level of accuracy, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
- Process and code a high volume of vendor invoices, including 3-way matching, ensuring accuracy and timely payments
- Use Concur to manage and process employee expense reports, ensuring compliance with company policies
- Perform monthly and quarterly journal entries, including accruals and reclassifications, to ensure accurate financial reporting
- Reconcile accounts payable ledger to ensure that all payments are accounted for and posted properly
- Prepare and process payment runs (checks, ACH, wire transfers) and resolve any payment discrepancies
- Maintain vendor files, including setting up new vendors, W-9 collection, and ensuring proper documentation for compliance
- Generate accounts payable reports and assist with month-end closing processes
- Collaborate with the finance team to ensure accurate and timely recording of all AP transactions
- Assist with audits by providing documentation and explanations related to accounts payable
- Identify and implement process improvements to increase the efficiency and accuracy of the AP process
- Ensure compliance with internal controls and accounting policies
Qualifications:
- 2+ years of experience in accounts payable, with hands-on experience in Concur
- Experience with journal entries and general ledger reconciliations
- Proficiency in Microsoft Excel, including advanced functions such as pivot tables, VLOOKUP, and data analysis
- Strong attention to detail and accuracy in processing financial data
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and vendors
- Ability to work independently and manage multiple tasks in a fast-paced environment
Preferred Skills:
- Experience with ERP systems and other accounting software
- Strong analytical skills with a process improvement mindset
- Knowledge of GAAP and internal controls for accounts payable processes
