We are seeking a proactive, detail-oriented Chief of Staff to support the Chief Product, Digital, and Marketing Officer in managing strategic initiatives, enhancing operational efficiency, and streamlining organizational communication. This position offers a unique opportunity for a motivated professional to gain hands-on experience in leadership and management, contributing to impactful work that drives our organization forward.

As the Chief of Staff, you will play a vital role in overseeing data reports, creating high-quality presentations, coordinating agendas, and organizing meetings. You will support the executive team in driving key projects, optimizing workflows, and fostering collaboration across the organization. Proficiency in Microsoft Excel, PowerPoint, and project management tools is essential, and bilingual fluency in English and Spanish is preferred to facilitate effective communication with diverse stakeholders.

Key Responsibilities:
  • Assist the executive team in developing and executing strategic initiatives that align with company objectives.
  • Conduct research and analysis to provide data-driven insights that inform decision-making processes.
  • Coordinate cross-functional projects, ensuring timely completion and alignment with company goals.
  • Track project progress and provide regular updates to key stakeholders to ensure alignment and transparency.
  • Identify and implement project management best practices to improve efficiency.
  • Collect, analyze, and synthesize data to prepare comprehensive reports and presentations for strategic review.
  • Develop and maintain a streamlined process for generating and updating data reports, ensuring accuracy and relevance.
  • Facilitate effective communication between executive leadership and various departments to ensure alignment on key initiatives.
  • Prepare presentations, reports, and briefing materials for internal and external meetings, ensuring clarity and professional quality.
  • Identify opportunities for process improvements and contribute to implementing streamlined solutions.
  • Assist in developing and maintaining organizational policies and procedures that enhance efficiency and compliance.
  • Foster a collaborative environment by working closely with team members across all levels and departments.
  • Participate actively in team meetings, contributing insights and innovative ideas that support organizational growth.
  • Provide administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in the preparation of agendas, meeting minutes, and follow-up materials to ensure clarity and accountability.

Qualifications:
  • Bachelor's degree in Business Administration, Marketing, Management, or a related field.
  • Minimum of 3-5 years in a project management, administrative, or operations role, with demonstrated expertise in supporting high-level executives.
  • Experience in the digital marketing or product development sectors is a plus.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Ability to analyze data, generate actionable insights, and communicate them effectively to stakeholders.
  • Bilingual fluency in English and Spanish is preferred to facilitate effective communication.
  • Excellent written and verbal communication abilities, with a high level of professionalism and discretion.
  • Exceptional ability to manage multiple tasks and projects simultaneously, with a keen attention to detail.
  • Proven ability to work both independently and collaboratively in a fast-paced environment.
