The Office Manager is responsible for overseeing the administrative, operational, and organizational tasks at the camp. This role involves managing office systems, handling communication, supporting camp staff, ensuring smooth financial operations, and contributing to a positive experience for campers and staff alike. Key Responsibilities: Organize and maintain camp records, files, and documents (both digital and physical). Manage office supplies and ensure stock is maintained for camp operations. Handle scheduling and coordinate meetings or events within the camp. Process and organize paperwork related to camper registrations, medical forms, and staff documentation. Provide administrative support for camp leadership and staff. Serve as the main point of contact for inquiries from parents, campers, and staff. Answer phone calls, emails, and other communications, responding promptly and professionally. Ensure information about schedules, events, and policies are communicated clearly to all camp members. Coordinate with camp leadership to update parents about camper progress and issues. Assist with camp budgeting, including tracking expenses and ensuring costs stay within limits. Handle billing, invoicing, and payment processing for camper registration and other fees. Keep accurate financial records and assist in reconciling financial reports. Work with the finance team to prepare for audits and assist with financial planning. Assist with the hiring process, including tracking applications, scheduling interviews, and maintaining staff records. Help onboard new employees by providing necessary training and introducing them to camp policies. Maintain accurate records for staff payroll, attendance, and time-off requests. Provide general administrative support to camp directors and other leaders. Assist with organizing and planning camp activities, events, and schedules. Coordinate transportation logistics for campers, staff, and supplies. Ensure all necessary permits and legal documentation are filed on time. Troubleshoot and solve minor logistical or operational issues as they arise. Ensure that camp policies and procedures are adhered to, including health, safety, and regulatory requirements. Assist with the management of safety records, including injury logs and incident reports. Help maintain camp facilities and ensure they meet health and safety standards. Skills and Qualifications: High school diploma or equivalent (Associate's or Bachelor's degree preferred). Experience: Proven experience in office management, preferably in a camp or recreational environment. Skills: Strong organizational and time-management skills. Excellent communication skills (both written and verbal). Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace). Ability to work well under pressure and adapt to changing environments. Strong attention to detail and problem-solving abilities. Basic knowledge of budgeting and financial management.
