Job Overview
Search Solution Group is seeking a detail-oriented AP Clerk on behalf of our client, a leading bulk ingredient supplier specializing in sourcing, negotiating, transporting, and delivering large quantities of food ingredients to manufacturers in the food and beverage industry. The AP Clerk plays a vital role in maintaining accurate financial records and supporting the organization's accounting processes, ensuring seamless operations and compliance.
Key Responsibilities
  • Verify invoices for accuracy and completeness.
  • Reconcile AP balances and funds (deposits and undeposited funds).
  • Record expenses and transactions in the accounting system, ensuring they are assigned to correct accounts and cost centers.
  • Enter daily purchase orders (POs) for vendors and company credit card transactions using third-party SaaS and accounting systems.
  • Verify recurring entries for consistency and accuracy.
  • Calculate and process state sales tax payments.
  • Perform bank reconciliations, ensuring all entries are accurately recorded in the accounting system before payments are issued.
  • Maintain a consistent schedule for reconciliations, including weekly (every Monday) and monthly (1st business day) tasks.
Requirements Include
Education
  • Certification in accounting or bookkeeping preferred, or equivalent experience.
Experience
  • Minimum of 3+ years of bookkeeping or accounting experience.
  • Experience with QuickBooks Online is highly desirable.
Skills
  • Proficiency in full-cycle accounting practices.
  • Strong analytical and organizational skills.
  • Familiarity with accounting systems and third-party SaaS solutions.
Certifications
  • Certification in accounting or bookkeeping is a plus.
Knowledge
  • Basic understanding of best practices in full-cycle accounting.
  • Familiarity with financial reconciliation processes and compliance requirements.

  • Excellent multitasking skills in environments with frequent interruptions.
  • Strong problem-solving skills and proactive approach to tasks.
