Reports To: Director of Finance
Job Summary: PromoCentric is looking for an AR Specialist (Promo Industry veteran preferred but not required) to help us grow into the future! Great opportunity for the right person, salary commensurate to experience and knowledge. The Accounts Receivable Specialist is responsible for managing and processing incoming payments, maintaining accurate records of transactions, and working with collections to ensure timely collection of outstanding invoices. The role involves working closely with customers to resolve billing issues and support the overall financial health of the organization.
Key Responsibilities:
  • Invoice Management:
  • Generate and issue invoices to customers
  • Ensure invoices are accurate and sent in a timely manner
  • Reconciling the UPS Invoice weekly
  • Assess billable revenue verse allocation of costs for each client job
  • Generating monthly consolidated invoices for Program Clients
  • Managing store invoicing: contract billing, daily web orders, quarterly storage, annual renewals
  • Payment Reconciliation
  • Reconcile daily receipts journal from the Collection specialist against the bank deposits
  • Record daily receipts journal once reconciled into Quickbooks Accounting Software
  • Reconcile customer accounts and provide client reports to the client and sales teams
  • Identify and resolve discrepancies between accounts receivable records and customer payments
  • Customer Communication:
  • Maintain positive relationships with customers while addressing and resolving any billing concerns
  • Handle customer inquiries regarding bills, payments or account status, and provide excellent customer service to internal and external customers
  • Handle request from sales persons and sales support
  • Reporting:
  • Prepare regular reports at the request of the sales team and or clients
  • Updating and maintaining accurate client account data
  • Ensure compliance with company policies and accounting standards
  • Collaboration:
  • Work closely with other departments, such as Sales and Customer Service, to resolve billing issues and ensure smooth operations
  • Assist with month-end and year-end closing processes as needed
Qualifications & Skills:
  • Education: Associate's degree in Accounting, Finance, Business Administration, or a related field. Bachelor's degree preferred
  • Experience: 2-3 years of experience in accounts receivable, bookkeeping, or a related financial role. Promotional product experience a plus
  • Proficiency in accounting software and Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and meet deadlines

Requirements
