Primary Purpose: Perform weekly check run, prepare invoices for accurate and timely payment.
Qualifications: Education/Certification: High school diploma or GED College courses in accounting/business related subjects preferred.
Special Knowledge/Skills: Knowledge and experience with financial software, accounts payable procedures. Type at least 30 wpm and operate a 10 key calculator. Good communication skills to work with vendors and buyers. Ability to use computer and software to develop spreadsheets and perform word processing.
Experience: 1-3 years of accounts payable experience preferable with school district.
Major Responsibilities and Duties: Accounting - Open and deliver invoices to campuses and departments for payment approval.
- Compare approved invoices with purchase orders and verify all totals and extensions.
- Enter and update payment information to Skyward Business system for weekly check run.
- Verify vendor remittance address for mailing out check.
- Type manual checks when necessary.
- Verify computer output on all check runs.
- Maintain files of all paid invoices by vendor with appropriate supporting documents.
- Perform follow-ups of all purchase orders outstanding over 60 days.
- Maintain and file purchase orders and record of liquidation.
- Review monthly vendor billing statements, follow-up on over due invoices for timely payment.
- Journal entries/ receipt entries on the Finance system.
Records - Maintain physical and computerized file and records.
Other - Provide assistance of switchboard as needed.
- Maintain confidentiality.
- Any other related assignments as per the direction of the supervisor.
Supervisory Responsibilities: None.
Equipment Used: Personal computer, printer, calculator, copier, and fax machine.
