Job Description

We are seeking an experienced and proactive Executive/Personal Assistant to support a top luxury real estate agent in Boca Raton, FL. The ideal candidate will be someone who is committed to being a long-term assistant and thrives in a fast-paced, demanding environment, while being capable of handling a wide variety of tasks without constant supervision. This position requires someone who is highly intelligent, detail-oriented, takes initiative, and has the ability to anticipate needs and provide valuable feedback.


Key Responsibilities:

  • Manage the agent’s busy schedule, ensuring seamless coordination of appointments, meetings, and events.
  • Monitor and respond to emails on the agent’s behalf, flagging and prioritizing key communications.
  • Handle all travel arrangements, as well as errands including grocery shopping, dry cleaning, car washes, and medical appointments.
  • Act as the point of contact for property maintenance and repair issues across multiple properties, coordinating with property managers and vendors.
  • Assist with contract preparation, review legal documents, and ensure that all forms are filled out accurately (real estate experience is a plus but not required).
  • Assist with logistics for open houses, client showings, and other events.
  • Manage personal tasks such as gift purchasing, flower arrangements, and other personal errands.
  • Anticipate needs and address challenges quickly, whether it’s scheduling conflicts, last-minute tasks, or property management issues.


Qualifications :

  • 5+ of experience in an Executive Assistant or Personal Assistant role (real estate experience is a plus but not necessary).
  • Highly organized with the ability to juggle multiple tasks at once and a keen attention to detail. Must be able to read and understand legal contracts and documents.
  • Must be a self-starter, independent thinker, and able to execute tasks with minimal supervision. Ability to accept and implement constructive feedback.
  • Strong written and verbal communication skills. Ability to interact with UHNW individuals and handle confidential matters.
  • A reliable vehicle and valid driver’s license are required for running errands and coordinating tasks.


Location : onsite in Boca Raton, FL (office and homes)


Compensation: $80,000 - $100,000 DOE. This role will be on a 1099 with potential to turn into a W-2 down the line, although no guarantees. No benefits at this time.
