Malin's Service Coordinators are the backbone of our administrative support processes. As an extension of our field operations, Service Coordinators are energetic, detail-oriented individuals that interface with all facets of the business -- field service, customers, ancillary departments and management -- coordinating the activities of our field service technicians. ESSENTIAL FUNCTIONS
* Receive inbound service calls and obtain needed information so that work orders can be accurately opened.
*Dispatch service technician according to customer needs.
*Track scheduled maintenance calls to confirm that they are performed timely.
*Order follow-up parts issues for technicians.
* Open work orders directly into business operating system and update status code and notes as changes occur.
* Utilize reports to schedule all scheduled maintenance so that each is completed by their due dates to ensure expectations are met.
* Track those that cannot be completed and update with appropriate status code if necessary.
* Report any changes in customer location, fleet or service needs to appropriate department.
* Monitor and manage WIP (Work in Progress) by updating work order notes and utilizing appropriate status codes.
* Refer all questions regarding service quality, technical issues and invoicing to appropriate service management for resolution.
* Recognize trucks under warranty and CFPM for billing purposes.
ADDITIONAL JOB FUNCTIONS
* Advise supervisor of any potential service issues as soon as possible.
* Work with other Service Coordinators to ensure that data for all work orders has been entered accurately in order to bill for services rendered.
* Assist team members with their workload in their absence and/or in other times of need.
QUALIFICATIONS & REQUIREMENTS
Education and Experience
* Two or more years of relevant work experience.
* Prior experience with scheduling, delegation, problem resolution and supervisory techniques
* Intermediate to advanced Microsoft Office skills -- Outlook, Word, Excel
*Associate degree
