Position Overview
As the sales operations coordinator, you will be the first point of contact for potential customers and will play a key role in expanding our pipeline and growing our client base. You’ll be responsible for generating and qualifying leads, setting up meetings, and helping to close deals. Key Responsibilities
Summary:
This position is primarily responsible for assisting Sales and Business Development teams, setting up new clients, processing jobs and bids in designated software, maintaining and updating CRM and generating various reports for Sales Leadership.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
This position is primarily responsible for supporting the sales team in all aspects of the sales process by performing the following duties:
Manage customer phone calls and/or emails regarding leads and/or estimating/job status inquiries and schedule sales team accordingly
Become “expert” in Jobba CRM to support clients and internal users to ensure that CRM is leverageable to capture building data for asset management purposes.
Verify New Client turnover sheet, Client Information, Site list, Rates, etc.
Accept and record payments for on-going jobs in CRM and Accounting software
Create and send deposit invoices for contracted capital project replacements.
Create proposal packets and information folders for business meetings, etc.
Take minutes and distribute to team after weekly sales meetings
Assist sales teams by coordinating key sales meetings, ‘Lunch and Learns’, ordering gift cards, and other materials
Assists sales team and Business Development with proposal generation and RFP follow-ups
Prepare regular reports on sales activities and customer engagement, providing actionable recommendations on areas of opportunity, improvement and successes.
Assist with lead qualification and prospect research.
Analyze sales data and trends to identify growth and declines.
Monitor and track monthly sales metrics and KPI’s, keeping the My90 tool updated.
Assist with onsite event management and handle post-event follow-up.
Partner with sales and operations leadership to continually develop improved processes.
Assist in renewing annual customer contracts and manage contract expiration dates
Update List of Current Contracts – Start & end dates
Manage shared folders to ensure all executed docs, COI, Rate cards are available in account specific folders.
Manage the Business Development email and dissemination of information to appropriate teams
Liaison with internal teams (finance, capital production and service/client care) as needed.
Manage the RFP Process
Manage the circulation to internal team contracts for review and input with return date
Compile all internal redlines and comments & send approved draft agreement
Manage Client COI’s
Other Duties as assigned
QUALIFICATIONS:
Education: Bachelor’s degree or equivalent experience is preferred. High school diploma; Up to 5 years related experience and/or training in customer service, sales support; or equivalent combination of education and experience. To perform this job successfully, an individual should have knowledge of Microsoft Office.
