Job Description

The Operations Manager is a critical leadership role responsible for overseeing and optimizing the efficiency and effectiveness of Donahue Fitzgerald's office services department. This position requires a strong leader with excellent organizational and interpersonal skills to manage a team, coordinate various operational functions, and ensure seamless office operations across all locations


DUTIES AND RESPONSIBILITIES

  • Manage and develop the firm’s office services team which includes but is not limited to hiring, training, assignment of work, performance evaluations, discipline, termination, and salary administration
  • Oversee daily operations, including facilities management, hospitality services, records management, court runs, and conflict checks.
  • Implement and maintain efficient processes and procedures to optimize workflows, identify opportunities for improvements, and implement innovative solutions.
  • Manage vendor relationships and negotiate contracts to ensure cost-effective outcomes.
  • Assist the team in completing large or complex jobs, such as copy jobs, large and/or complex records, and conflict requests.
  • Ensure processes are followed with document productions, records, and conflict procedures.
  • Coordinate and oversee office maintenance and repairs requiring external vendors.
  • Liaison between the firm and the landlord regarding facilities projects, maintenance requests, or issues requiring building engineer support.
  • Works in partnership with the Executive Director on renovations and relocations.
  • Partner with HR to ensure compliance with safety and security, including attending training programs
  • Ensure timely and accurate processing of records transfers.
  • Conduct and review data entries using records management software to ensure accuracy.
  • Manage offsite records storage account, weekly services, and tracking of files between Donahue offices and storage.
  • Manage oversight and maintenance of new records being created, records locations within the records system, and records storage rooms in all locations.
  • Maintaining retention schedules and identifying records for destruction.
  • Manage department operating budget, approve requests for office supplies; review and approve vendor invoices.
  • Work with the firm’s social committee and coordinate office-wide events and initiatives.
  • Perform other functions as assigned


KNOWLEDGE, SKILLS AND ABILITIES

  • Five years of supervisory or management experience, preferably in office services, records management, and conflicts within a law firm or legal environment.
  • Demonstrated experience as a manager of a team with a track record of improved performance
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • General knowledge of records terminology and understanding of conflicts and related ethical rules.
  • Knowledge of Document Management Systems such as IManage or NetDocs and Records Management Systems.
  • A high degree of initiative is required to make administrative and procedural decisions and judgments on firm policies and procedures and make recommendations.
  • Professional, dependable, flexible, and positive, can-do attitude.
  • Excellent attention to detail with strong customer service skills and the ability to work independently, delegate, and prioritize.
  • Must interact effectively and communicate with a diverse group of attorneys, firm management, clients, staff, and vendors.

  • Excellent problem-solving skills
  • Ability to communicate well in both written and verbal communication forms.
  • Ability to multi-task and meet required deadlines in a demanding environment.
  • Proactive attitude and volunteers willingly to take on additional responsibilities and assist with other team members' projects.
  • Must be available to work during regular business hours and beyond.
  • Must be able to travel between Oakland and Walnut Creek office, as needed.

This position's estimated annual base salary range is $110,000 - $125,000. Salary determinations are based on numerous factors, including, but not limited to, the years of relevant experience and job knowledge required for this role.
