Job Summary
The payroll clerk is responsible for processing employees' paychecks by collecting their data and timesheets. Verify work hours, issuing deductions from wages or other earnings statements to workers, and updating records regularly to keep things running smoothly.
Essential Job Duties
  • Analyze, process, and maintain all payroll adjustments, leave payouts and corrections
  • Audit and control time-payment data submitted by departments and ensures accuracy and eligibility of the entries by applying knowledge of law, regulations and payroll policies and procedures
  • Verify output of file maintenance and payroll processing runs to ensure that individual pay records are accurate and takes corrective actions where necessary
  • Reconcile payroll transactions on a regular basis
  • Communicate with agencies (IRS, Alabama DOL, State Unemployment Department, other Local, State, FED agencies, etc.) to provide guidance regarding payroll-related problems, corrections, or procedural issues
  • Maintain retrievable files of source documents to provide history for audit trails as required
  • May assist in training other departments on required procedures
  • Coordinate with Office of Human Resources and Student Financial Services (student payroll) with payroll functions
  • Support internal and external audits to ensure compliance
  • Provide assistance, gather necessary account information and documents to support performing annual year end audit
  • Assist and serve as backup for all aspects of payroll
  • Other duties as assigned to assist in the completion of the payroll/human resources functions
  • Perform all other duties as assigned
Qualifications (Education, Experience and Specialized Training)
  • High School Diploma (required)
  • One year minimum payroll experience (required)
  • Two years or more payroll experience (preferred)
  • Two years of College/University accounting experience (preferred)
  • Experience with computerized office tools such as Excel, PowerPoint, and Word
Physical Demands
  • Ability to operate standard office equipment
  • Ability to walk short distances
  • Ability to prepare and analyzing data and figures
  • Ability to view a computer terminal; extensive reading
Skills and Attributes
Knowledge of:
Numerous deductions and other earnings, understand the rules under which these deductions and earnings are permitted and their effect on withholding tax computations and on wages
Skills
  • Independent judgment in resolving complex issues; knowledge of applicable laws, regulations, policies, and guidelines. Attention to detail and the ability to work in a fast-paced, people-oriented environment
  • Demonstrated proficiency with computers and software
  • Exercise analytical skills
