The Client Operations Associate will be a key member of the team providing administrative and operational support to our sales and client services team. The Associate will support day-to-day operational efficiency by maintaining client data through Salesforce CRM, preparing quarterly and on-going reporting for the advisor team, and establishing or improving ongoing processes for business development and client servicing. This role is Part-Time with an expectation of 20-30 hours per week.
Primary Responsibilities
As an Associate your responsibilities would include the following activities to support the advisor team:
  • Support the advisors leads and opportunities pipeline through Salesforce
  • Onboarding the advisors' clients by assisting with proper setup of client files and documentation
  • Preparing quarterly agendas, investment reports for distribution to clients
  • Using the Salesforce CRM system proactively, to help the team maintain regular client contact and balance workload across multiple clients
  • Maintaining client data in Salesforce and following designated workflows and compliance procedures
  • Coordinating for the advisors their client meetings including materials, agendas, meeting minutes and post-meeting action items
  • Implementing and monitoring investment change processes under advisors' supervision
  • Other duties as assigned
Ideal Candidate Profile:
  • Bachelor's degree in finance or business-related field preferred
  • Experience working within the securities industry preferably within retirement plan practice preferred
  • Experience working with Salesforce
  • Proactive communicator who can adjust message and style to the needs of our clients
  • Strong disciplined skills driving follow-up with Client Advisors and clients
  • Strong attention to detail with excellent organizational skills -Extremely reliable, proactive, and self-motivated
