Description
The Facilities Coordinator will assist and administer daily operations activities of the New York Office.
Essential Functions
- Maintains production equipment including stocking of paper trays, unit calibrations, and service technician calls.
- Performs printing, binding, custom covers as requested. Prints and reviews work orders to ensure proper deliverables.
- Assists with reviewing materials produced to ensure Eastdil Secured branding standards, such as documents containing proper disclaimers and all products are packaged to meet client expectations.
- Receives, distributes, and collects mail and packages; ensures shipping and receiving deadlines are met.
- Maintains overall office appearance and readiness. This includes all areas of the office; Open Office, Private Office, Conference and Breakout rooms, Pantry, Print, Lobby and Elevator areas.
- Performs daily maintenance, cleans, and restocks all common areas, maintaining adequate inventories of all supplies and re-ordering items when necessary.
- Assists with minor assembly and installations including lightbulbs, hanging of pictures, artwork and bulletin boards, fixture assembly, etc.
- Supports and partners on preparation, execution, and cleanup of all office events.
- Maintains good business relations with vendors.
- Cleans mailroom, organize storage space and taking inventory of supplies to replenish as necessary.
- Displays good working knowledge of facilities maintenance environment.
- Gains exposure to AV infrastructure and helps with troubleshooting issues and other routine tasks related to conference room AV and video conferencing tools.
- Assists with updating and or removing access control credentials on the S2 Security System.
- Support users with installing Blue Diamond Mobility access.
- Administers user accounts in ACO.
Education and Qualifications
- 2+ years of experience printing and shipping.

- Strong communication and interpersonal skills
- Strong time management skills, organizational skills, work ethic, initiative, sense of urgency, and attention to detail.
- Self-motivated with the ability to manage multiple tasks and effectively meet deadlines.
- Workstation setup including all user peripherals.
- Advanced knowledge of facilities machines and equipment
- Basic Operations of AV infrastructures and office equipment
- Basic Proficiency in all areas of MS Office and related work tools
