Job Summary


The Senior Executive Assistant provides high-level administrative and operational support to several C-Suite executives including the Chief Executive Officer. This role will ensure smooth day-to-day operations by managing schedules, communication, and special projects, to enable the company’s mission and strategic objectives.


Responsibilities


  • Manage and coordinate schedules, ensuring timely arrangements for meetings, appointments, and travel, while anticipating and preventing conflicts.
  • Prepare, proofread, and process documents, including reports, presentations, and correspondence, with accuracy and timeliness.
  • Support the executives in managing projects by tracking deadlines, setting reminders, and following up on assigned tasks to ensure timely completion.
  • Organize and maintain electronic files and records, ensuring confidentiality and accessibility.
  • Prepare meeting agendas, distribute supporting materials, and take notes as required.
  • Serve as a point of contact between the executive and internal/external stakeholders, representing the executive professionally and relaying messages accurately.
  • Securely handle and protect sensitive company and personal information, maintaining discretion and confidentiality.
  • Organize and manage travel itineraries, accommodations, and related arrangements; process expense reports and ensure accurate reimbursement tracking.
  • Foster positive relationships with internal teams, clients, and external partners, with high-quality service and proactive approach to meet executive and organizational needs.


Supervisory Respopnibility


  • Responsible for leading a team of 4-6 administrative assistants.


Education


  • Bachelor’s degree in Business Administration, Communications, or a related field


Experience


  • Minimum of 5 years in an executive-level administrative support role, supporting multiple C-Suite executives


Knowledge & Skills


  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office
  • Interpersonal and relationship-building skills
  • Strong attention to detail
