Title: Office Manager
Location: Montreal, QC
Duration: 6 month contract, potential for extensions/FTE
Job Description:
A large software company is looking for an Office Manager for their Montreal location. This person will work on site and make sure the office is running smoothly. This person will be customer service oriented and extremely detail oriented.
Other day to days in include:
- Visitor management including visitor NDA's as required.
- Coordinate lunch catering for the studio provided lunch -Serve as main contact for employees and vendors regarding all local facilities issues -
- Responsible for updating and maintaining the office intranet page
- Coordinates shipping and receiving of boxes and letters to and from the office
- Manage all incoming facilities tickets within the ticketing system (Jira)
- Oversee ordering of supplies for the office and perform risk and hazard assessments -Lead Workplace Health, Safety, and Environment initiatives for local office, implementing global and/or regional programs as mandated by law or policy -Implement global and/or regional Facilities programs and policies as required
- Manage day-to-day office budget, offer analysis as needed, and is held accountable for studio facilities budget
- Negotiate directly with local vendors to provide proper services and supplies to the office as needed
- Act as the office liaison for building engineers and outside vendors, including program vendors, waste management, pest control, internal and external building repairs and maintenance, landscaping, and utilities where needed
- Manage local physical security system and continuously follows global security policy
- Manage space planning for the office and coordinates the setup for new employees -Interact with internal customers and guests daily through managing all incoming telephone calls for the office, assisting with shipping, and receiving, coordinating catering, and other receptionist tasks. You'll also manage the visitor log and company lobby areas to ensure they comply with workplace health, safety, and environmental policies and laws.
REQUIRED SKILLS AND EXPERIENCE
-Requires a minimum of 4-6 years of related experience.
-Requires strong oral and written skills, professional business appearance.
-Excellent customer service skills and communication skills
-Requires attention to detail, extensive experience in most responsibilities as listed in the Job Description, and has advanced skills for developing systems and processes for smooth office operations;
-Able to multitask and prioritize is essential
-Self-motivated with the ability to work with little direct supervision
. -Team player with positive attitude toward change and challenges
-Computer Skills: Familiarity with office applications; prior experience with Google Suite, Slack, Zoom, MS Office and Google Docs Experience

Compensation: $20.00-25.00/HR
