Summary of Position This position is responsible for providing administrative support to the Boston Medical Practice. Administrative support includes meeting and calendar coordination, arranging travel, processing expense reports, PTO and CME management, ordering supplies, connecting calls, and other basic admin functions. This position also acts as a liaison between Pathologists and the IT helpdesk, Sales, and other internal customers. Responsibilities also include supporting daily Pathologist activities including slide organization, pulling slides, and determining sample volume analysis and distribution.
Key Job Elements - Provide administrative support to the Director of Dermatopathology, Pathologists, Director of Medical Practice Operations, Director of Laboratory Operations, Laboratory Manager, Quality Assurance Coordinator, other management personnel, and laboratory/pathology department staff.
- Manage information flow via telephone, email, and interaction with departments, operations, leadership, medical staff, and outside vendors.
- Use independent judgment in redirecting and deferring calls and emails.
- Prepare and manage correspondence including highly confidential information.
- Maintain and update calendars, schedule meetings, coordinate agenda preparation, transcribe and disseminate meeting minutes, and coordinate department activities.
- Initiate action as applicable following meetings.
- Track pathologist PTO and CME.
- Work on special projects as assigned.
- Perform all functions according to established policies, procedures, regulatory and accreditation requirements, and applicable professional standards.
Qualifications Knowledge/Experience - High School diploma (or equivalent) plus 1 - 3 years of experience as a medical office administrator or medical transcriptionist is required.
- Laboratory administrative experience is highly beneficial but not required.
- Excellent typing skills, up to 50 words per minute.
- Excellent planning, organizational, and multi-tasking skills.
- Proven project management skills, including the ability to work independently and under pressure with the initiative to see a project through from start to finish.
- Ability to professionally handle confidential information is critical and required.
- Demonstrated ability to shift direction in response to changing work situations is critical.
- Able to work under pressure and meet deadlines.
- Strict attention to detail and organization. Precise when performing clerical tasks.
- Possess a high degree of flexibility, accountability, and responsibility.
- Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook, and general working knowledge of Internet for business use. Ability to learn new computer systems.
