Job Summary: The Automotive Warranty Administrator is responsible for the accurate and timely processing of warranty claims related to vehicle repairs, parts, and services. This role requires strong attention to detail and the ability to communicate effectively with manufacturers, dealerships, service departments, and customers. Warranty claims must be processed in accordance with company policies and manufacturer guidelines.
Key Responsibilities: Warranty Claims Processing: - Submit and manage warranty claims to manufacturers or third-party providers.
- Ensure claims are submitted within appropriate timeframes and comply with all warranty policies.
- Gather and review required documentation (e.g., repair orders, parts records) to substantiate claims.
Claim Verification & Documentation: - Verify the accuracy of all warranty claims, ensuring they meet manufacturer eligibility requirements.
- Confirm that repairs and parts used comply with warranty guidelines.
- Maintain detailed records of warranty claims, approvals, and denials for audit purposes.
Customer Communication: - Serve as the point of contact for customers regarding the status of warranty claims.
- Clearly communicate warranty coverage and any claim outcomes to customers.
- Address customer questions or disputes professionally and promptly.
Parts and Labor Management: - Track and document all parts and labor associated with warranty claims.
- Ensure warranty work is correctly billed and aligns with manufacturer specifications.
Dealer and Manufacturer Relations: - Liaise with manufacturers or third-party providers to expedite warranty claim processing.
- Address and resolve rejected claims by coordinating with relevant parties.
Compliance and Reporting: - Ensure all warranty procedures adhere to company policies and manufacturer guidelines.
- Prepare and present warranty reports, including analysis of costs and claims trends, to management.
- Track warranty expenses to ensure claims are processed within budget.
Training and Updates: - Stay up-to-date on the latest warranty policies and procedures from manufacturers.
- Provide training and guidance to service staff regarding warranty processes and best practices.
Problem Solving: - Investigate rejected claims, identify the reasons for denial, and take corrective actions.
- Resolve discrepancies between service records and warranty coverage.
Skills and Qualifications: - Experience: Minimum 3 years of dealership experience required (experience does not need to be specific to warranty administration).
- Preferred Skills:
- Experience with Dealertrack DMS is preferred.
- Experience with Stellantis or GM systems and guidelines is a strong plus.
- Knowledge: Understanding of automotive systems, parts, and warranty procedures. Familiarity with manufacturer warranty policies is a plus.
- Technical Proficiency: Competent in dealership management systems (DMS) and Microsoft Office Suite (Excel, Word, etc.).
- Communication Skills: Excellent verbal and written communication skills to convey information clearly to customers and manufacturers.
- Attention to Detail: High level of accuracy in claim processing and compliance tracking.
- Organization: Ability to handle multiple claims simultaneously while meeting deadlines.
- Problem-Solving: Analytical skills to resolve claim disputes or rejections effectively.
Education and Certifications: - High school diploma or equivalent required.
- Associate degree in business administration, automotive technology, or a related field preferred.
- Relevant warranty certifications or training are a plus.
Working Conditions: - Full-time position.
