Position Summary
  • Under the supervision of the System Chief Nursing Officer, provides administrative and clerical support as assigned.
Job Requirements
  • Education, Required Licenses/Certifications:
  • Associates Degree in Secretarial Science and five years secretarial experience required.
  • Prior experience will be considered in lieu of degree.
  • Work Experience, Skills, Knowledge and Abilities:
  • Must have excellent keyboarding and computer skills.
  • Must possess strong verbal and written communications skills.
  • Extensive database and spreadsheet experience a must.
  • Experience with PowerPoint software required.
  • Prior minute taking experience required.
  • Must be self-motivated and able to work independently with limited supervision.
  • Strong interpersonal and organizational skills are required.
  • Must have technical aptitude and a willingness to learn various software applications used at AVH.

  • Schedules, organizes and coordinates various meetings. Oversees preparation of meeting agendas. Attends meetings as assigned and transcribes minutes of meetings. Expectation that all meeting minutes will be completed within 24 hours. Maintains committee records in orderly fashion.
  • Ensures that physician/provider "time studies" are completed timely and formally documented.
  • Composes correspondence, memos and reports. Transcribes from handwritten and/or dictated material, inclusive of dragon dictated correspondence.
  • Provides administrative support to Specialty Practice Director and Specialty Practice Clinical Supervisor, assisting with projects.
  • Provides administrative support in the wRVU and production data management and Provider Cost Report studies. Assists with ASA budget development as requested.
  • Manages provider and staff schedules for time off, sick calls and weekly assignments.
  • Supports System Practice management through research, data collection, data reporting, verification, reconciliation and analysis. Compiles data/statistics as requested.
  • Assists the various specialties with projects.
  • Assists with organizing, tracking and maintaining a record of department purchases to assist with cost containment.
  • Updates and maintains Practice policies and procedures.
  • Collects, maintains, and compiles data/statistics as requested. Reconciles statistics to assure accuracy. Troubleshoots inaccuracies and rectifies errors. Prepares statistical reports and graphs. Distributes statistical reports.
  • Coordinates and tracks assigned workflow, schedules, and projects to ensure paperwork is complete/appropriate.
  • Assists with tracking CMEs for providers.
  • Assists with creating and maintaining staff educational competencies.
  • Schedules meetings, meeting rooms, and manages electronic calendaring as requested. Ensures preparation and availability of materials needed for meetings.
  • Provides backup support for maintaining inventory of administrative office and copier supplies, including Specialty Practice weekly order from supply company.
  • Assists with the support of the copy machine and fax machine.
  • Maintains filing and record management systems and other office flow procedures. Ensures files are up-to-date, organized and easily accessible. Maintains effective tickler system to ensure important deadlines are not missed.
  • Copies and collates material.
  • Demonstrates technical aptitude. Is familiar with computer applications. Is willing to learn software applications.

  • Performs all other administrative and clerical duties as necessary to meet operational needs.
