Job Summary
This position is to assist in the management of a large teaching dental office focusing on children and veterans, responsible for the day to day functions of the front office, creating an efficient workflow under the guidance of the Health Operations Manager, Dental Clinic Director, and Catholic Charities of Ingham, Eaton, and Clinton Counties agency direction.
Key Responsibilities
  • Scheduling:
    • Fill the dental schedule and manage patient appointments in concert with production goals
    • Keep a working list of patients waiting to be seen
    • Relay office policies to patients as necessary
    • Arrange for transportation and interpretation assistance for patients
    • Confirm appointments utilizing available automated systems
    • Assist patients in check-in and check-out procedures
  • Patient Accounts:
    • Maintain accurate account information for all patients at all times
    • Obtain dental records for all new patients
    • Assist dental providers in obtaining medical consults and other requirements for continuation of care
    • Send communications to patients as necessary
    • Provide patient care coordination and referrals as requested
    • HIPAA compliance at all times in all communications
  • Front Office:
    • Work closely with Social Work Interns and Community Health Workers to provide resources for patients
    • Assist dental interns in communicating with patients regarding treatment plans, appointments, and fees
    • Represent UW in community collaborations relating to dental projects and initiatives
    • Report patient demographics, quality measures, and production numbers as requested
    • Ensure a positive experience for all patients
    • Assist Clinic Manager in reporting sharps injuries following clinic protocols
    • Attend mobile dental events as requested
    • Have working knowledge of agency policies and administrative procedures
    • Management of supplies necessary to perform tasks- keep up on stock by anticipating supply needs and maintaining consistent availability of supplies and equipment within budget constraints
    • Foster a spirit of teamwork and unity among the department and work effectively together to enable each employee and the department to succeed
    • Safeguards all confidential information used in the performance of duties
  • Other duties as assigned
Qualifications
  • Education: High school diploma or equivalent.
  • Experience: Dental industry knowledge required. Experience preferred in areas related to Eaglesoft dental software system, scheduling, billing and insurance, phone systems, general computer skills, patient consultation, and program planning including budget. Will consider equivalent combination of education and work experience.

Work Environment & Physical Demands
  • This position is on-site and may not be eligible for remote work

  • Physical requirements include frequent use of hands for handling objects, tools, or controls; talking, bending, squatting, twisting, climbing, kneeling, reaching, and occasionally lifting or carrying up to 30 pounds
  • Vision requirements include close-up work, distance vision, and the ability to adjust focus
  • The work environment may involve varying degrees of physical discomfort and occasional loud noise
