Job Summary: This position is responsible for overseeing the records management program of the bank, including but not limited to, document scanning, indexing, quality control, original document coordination, physical and electronic retention management, image archive expertise and administration, process automation through workflow applications, document design, and functions associated with print/mail operations.
Primary Duties: - Leadership Expectations:

- Functional Requirements:
- Lead and direct the document imaging, workflow, physical records handling, and print/mail processes.
- Develop and manage application user training and customer support for the records management function.
- Oversee the research, development and execution of workflow application usage for process automation, facilitating strategy discussions where necessary.
- Oversee changes to document design initiatives and coordinate with appropriate print processes.
- Manage accuracy in mailings through performance monitoring, error tracking and partnering with other business units and vendors to accept and provide feedback in a professional manner.
- Manage Central Issuance processes and standards as well as Instant Issuance processes as they relate to Mail Operations.
- Manage vendor relations for the image archive, coordinating with users, Information Systems and other necessary areas for quality service, including testing and directing the training of others using the system, and communicating/managing issue resolution.
- Manage vendor relations for the print vendor(s), ensuring timely customer statements, notifications and other mail processes.
- Establish and manage standards for physical and electronic retention of documents and other information.
- Research best practices and technologies in the marketplace to recommend changes to meet business needs for document management, process automation, records retention, and print and mail.
- Mitigate/reduce overall risk through assessment review, product support, change controls and other risk monitoring activities
- Protect the integrity and authenticity of records.
- Proactively communicate departmental activities such as production issues, project activities, customer service escalations, etc. when necessary or as instructed by the deposit operations/ records manager.
- Analyze and determine optimum staffing levels depending on volumes tracked as part of the quality assurance process.
- Establish and maintain policies and procedures related to all records management functions.
- Investigate and resolve problems for internal and external customers. Provide courteous, accurate, and efficient assistance to these customers regarding records management.
- Know by name and face as many customers and employees as possible, calling them by name as often as possible.

Job Skills Required: - B.A. in business or other field, or demonstrated equivalent of work experience.
- Experience in document management, mail operations and its relation to overall bank processes.
- Experience in process analysis and improvement.
- Supervisory experience including coaching, interviewing, hiring, training, delegation and performance appraisals.
- Strong organizational, research, analytical and problem-solving skills.
- Excellent verbal and written communication skills.
- Detail-oriented, with the ability to work under deadlines and to prioritize workflow on a daily basis.
- Knowledge of personal computers and related software programs including, but not limited to, Windows XP and Microsoft office, and the ability to use them.
- Ability to work with minimal supervision with ability to work flexible hours. This may include working into the evening and on weekends to meet deadlines.
- Ability to maintain a high level of confidentiality due to the nature of this position and working with sensitive information.
- Knowledge of personal computers and related software programs including, but not limited to, Windows XP and Microsoft Office and ability to effectively use them.
