We are looking for an Executive Assistant to support the following functions:


  • Prioritizing conflicting needs, handling matters expeditiously, and proactively engaging on and seeing projects through to successful completion within strict deadlines
  • Maintaining and coordinating calendars, scheduling appointments and meetings for executive business leaders
  • Planning, scheduling, and arranging business meetings and travel itineraries; preparing and reconciling expense accounts
  • Managing domestic and international travel arrangements, including coordinating visa applications
  • Responsible for paying & tracking invoices and assisting with issues relating to invoices
  • Processing T&L expenses and assisting in managing expense accounts and budgets
  • Preparing communications such as organization announcements and newsletters
  • Preparing presentations, reports, spreadsheets, meeting minutes and other business information
  • Using discretion in interfacing with all levels of individuals, internally and externally
  • Answering phones, directing calls to appropriate individuals and sending emails to the team regarding incoming calls and requests
  • Preparing, evaluating, and editing incoming and outgoing communications for the executives
  • Serving as a delegate for various approval processes for executive business leaders, including expense reports, computer peripherals, electronic signatures, etc.
  • Keeping org charts, seating, and distribution lists up to date
  • Supporting teams in planning and executing customer and large internal events, including all logistical details, scouting locations, coordinating scheduling, accommodations, and catering
  • Directing business contacts to appropriate managers
  • Managing conference / huddle rooms and common office areas
  • Ordering and tracking general office supplies
  • Coordinating the offices and employee supplier needs
  • Interacting with vendors and building administration for maintenance needs, employee access to parking, fitness center
  • Leading special projects as requested
  • Properly handling and protecting confidential business information


Qualifications

  • Minimum 5 years of administrative experience in a corporate environment supporting multiple executives
  • High School Diploma/GED required, Bachelor's Degree preferred
  • Previous experience with international travel requirements
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiar with video conferencing
  • Experience in planning and executing meetings
  • Strong written and verbal communication skills
  • Experience working in a matrixed organization
  • Demonstrated critical thinking skills
  • Previous experience working for a global multinational Fortune 500 company
