The Opportunity:


An award-winning Law Firm is seeking an Office Services & Facilities Coordinator to join their team in Bergen County, NJ. In this role, you'll be responsible for overseeing the daily operations and maintenance of our office environment. The ideal candidate will ensure the workspace remains functional, organized, and welcoming for employees and visitors. This role requires a hands-on approach to maintaining the office and pantry, coordinating with vendors, and supporting office events and meetings.We offer a competitive salary, excellent benefits package including generous time off, medical, dental, vision, 401k, life insurance and a friendly and supportive work environment. This is a fully onsite role, Monday-Friday from 8am to 5pm.


Key Responsibilities:


Pantry and Inventory Management:

  • Stock and maintain the kitchen pantry to ensure it is fully prepared before employees arrive.
  • Monitor inventory levels and order supplies as needed.


Facilities Maintenance:

  • Conduct daily walkthroughs to ensure cleanliness and identify any maintenance needs.
  • Coordinate with external vendors (e.g., carpet cleaners, plumbers, coffee service providers) to address facility issues.
  • Oversee routine office upkeep and minor physical tasks (not requiring handyman skills).


Vendor and Relationship Management:

  • Build and maintain positive working relationships with existing vendors.
  • Ensure timely and efficient delivery of services such as catering, coffee, and cleaning.


Conference Room Management:

  • Prepare and maintain conference rooms for meetings, including post-meeting reorganization.
  • Collaborate with reception to coordinate upcoming meetings and event setups.


Event and Catering Coordination:

  • Work with catering vendors to provide meals and refreshments for meetings and events.
  • Assist with setup and cleanup after events.


General Office Support:

  • Act as the point of contact for office-related inquiries and maintenance requests.
  • Ensure a welcoming and professional environment for employees and visitors.


Requirements:

  • Previous experience in a facilities or office services role is highly preferred.
  • Strong organizational and multitasking skills.
  • Ability to perform light physical tasks and a keen eye for cleanliness and detail.
  • Excellent communication and interpersonal skills for working with vendors and team members.
  • Proficiency in coordinating with external service providers.
  • High level of reliability and a proactive approach to problem-solving.
