We are seeking a highly skilled Executive Personal Assistant to support the Chief Operating Officer (COO) of an international technology company. This role requires exceptional organizational skills, cross-cultural communication expertise, and the ability to thrive in a fast-paced environment. Candidates must be fluent in both English and Japanese and have significant experience supporting C-suite executives.


Requirements:

  • 7+ years of experience in executive-level administrative roles, with prior C-suite support required.
  • Proficiency in English and Japanese (spoken and written) is mandatory.
  • Background in the technology sector; experience with AI is a plus.
  • Demonstrated ability to manage complex calendars, coordinate global travel, and prioritize tasks effectively.
  • Experience handling sensitive and confidential information with discretion.
  • Strong cross-cultural communication and collaboration skills.
  • Proven success in a dynamic, fast-paced work environment with shifting priorities.
  • Proficiency in productivity tools such as Microsoft Office Suite and Google Workspace.


Responsibilities:

  • Provide high-level administrative and personal support to the COO, ensuring seamless day-to-day operations.
  • Collaborate with the COO’s Executive Assistant counterpart based in Japan.
  • Manage intricate calendars, prioritize meeting schedules, and coordinate detailed travel itineraries, especially for frequent international travel.
  • Act as the primary liaison between the COO and internal/external stakeholders.
  • Prepare, review, and manage confidential documents, reports, and presentations.
  • Organize and oversee logistics for meetings and events, ensuring flawless execution.
  • Adapt quickly to changing priorities and business needs while maintaining a proactive approach.
  • Assist with special projects, including those related to technology and AI.


Schedule:

  • Hybrid schedule: 3 days in-office (San Mateo HQ or downtown San Francisco office) and 2 days remote.
  • Flexibility to work in-office when required based on business needs.


Compensation:

  • $120,000 per year, with benefits


Location:

  • Bay Area, CA
  • Candidates must be based in the Bay Area or available to relocate.
