We currently have an excellent full-time opportunity for an experienced Executive Assistant who can multi-task in a deadline-driven environment and support our CHRO in the Human Resources Department.


In addition, you will:

  • Perform varied and complex typing tasks, including typing all confidential material; Completes all typing assignments accurately
  • Maintains and updates the SVP’s calendar.
  • Schedules meetings, secures conference rooms, transportation and food for HR Senior Staff when necessary.
  • Answers telephones, routes callers, takes messages; communicates effectively with human resources and other departments.
  • Ensures SVP & CHRO are timely for meetings as well as tracks deliverable deadlines
  • Approves Kronos timecards for department and investigates issues with HR Management and Payroll, as needed.
  • Coordinates with Labor Unions, Management, Labor Relations Department and outside counsel to schedule grievances and arbitrations & scheduling Labor-Management Meetings.
  • Maintains a high-level of confidentiality ensuring information and documents are handled accordingly
  • Takes and transmits minutes at departmental and other meetings
  • Composes routine correspondence and performs clerical duties (e.g. photocopying, faxing, etc.)
  • Opens and routes incoming mail, distributes correspondence to the Senior Vice President.
  • Prepares check requests and expense reports, as requested. Monitors Vice President’s business credit card and provides documentation to Executive Office
  • Assists HR Management with coordinating special events.
  • Maintains confidential files, and other departmental filing systems in conjunction with Executive Office and HR Management.
  • Keeps inventory of office supplies, places orders on bi-monthly basis.
  • All other tasks and/or special projects as requested by the SVP or other HR Senior Leadership.


We require:

  • HS graduation or equivalent; 1-2 years of college preferred
  • 2-3 years of executive/secretarial experience
  • Healthcare or Paralegal experience preferred
  • MS Office proficiency
  • Good interpersonal and English verbal/written communication skills
  • Shorthand, fast longhand preferred
  • Experience managing multiple calendars preferred
  • Familiarity with medical terminology preferred
