Position Summary:
We are seeking an organized and detail-oriented Event Coordinator to plan, manage, and execute high-quality events that reflect our brand and achieve organizational goals. The ideal candidate will have exceptional project management skills, creative problem-solving abilities, and a passion for delivering memorable event experiences. This role requires excellent communication skills and the ability to collaborate effectively with cross-functional teams, vendors, and stakeholders.
Key Responsibilities:
Event Planning and Coordination:
- Plan, organize, and execute events, including conferences, trade shows, corporate meetings, social gatherings, and virtual events.
- Develop and manage event timelines, budgets, and project plans to ensure seamless execution.
- Identify event goals, themes, and success metrics in collaboration with internal stakeholders.
Vendor and Venue Management:
- Source, negotiate, and coordinate with vendors, venues, and service providers to secure the best terms and services.
- Manage contracts, permits, and insurance requirements as needed.
- Conduct site visits and oversee event setup, logistics, and teardown.
Marketing and Communication:
- Coordinate with marketing teams to develop event promotional materials, including invitations, email campaigns, social media content, and on-site branding.
- Ensure consistent messaging and branding across all event-related communications.
Stakeholder Collaboration:
- Work closely with internal teams to align events with company objectives and priorities.
- Serve as the primary point of contact for event stakeholders, addressing questions and concerns in a timely manner.
Logistics and On-Site Management:
- Handle event registration, attendee communications, and guest lists.
- Oversee on-site event logistics, including setup, audiovisual needs, catering, and attendee flow.
- Troubleshoot and resolve issues that arise during the event to ensure a smooth experience for all participants.
Post-Event Evaluation:
- Collect and analyze event feedback to measure success and identify areas for improvement.
- Prepare post-event reports detailing outcomes, lessons learned, and budget adherence.
Qualifications and Skills:
Education: Bachelor’s degree in event management, hospitality, marketing, or a related field preferred.
Experience:
- Minimum 2-3 years of experience in event planning or coordination, preferably in a corporate or agency setting.
- Proven ability to manage multiple events simultaneously with competing deadlines.
Skills:
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Creative problem-solving and ability to stay calm under pressure.
- Proficiency in event management tools (e.g., Cvent, Eventbrite) and Microsoft Office Suite.
- Knowledge of social media and digital marketing for event promotion is a plus.
- Proficiency in design tools such as Adobe Illustrator and/or Canva.
