Position Summary:
The Office Services Specialist is responsible for delivering efficient and high-quality back-office support to internal teams. This role involves handling reprographics (copy) and mail services in both physical and digital formats, with occasional support for audio/visual and other operational tasks. The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced professional environment.
Key Responsibilities:
- Utilize appropriate logs for tracking and managing office services tasks.
- Perform reprographics, mail, and intake functions according to established procedures.
- Ensure job tickets are accurately completed before starting tasks.
- Troubleshoot basic equipment issues and place service calls as necessary.
- Load equipment with supplies such as paper and toner and maintain optimal functionality.
- Prioritize workflow to meet contracted deadlines and client expectations.
- Conduct Quality Assurance checks on completed work.
- Interact professionally with internal teams and clients via phone, email, or in person.
- Adhere to company policies and client site guidelines.
- Handle sensitive and confidential documents with discretion.
- Maintain a cost-efficient approach in the use of supplies and equipment.
Qualifications:
- High school diploma or equivalent.
- At least 1 year of office services experience, preferably in a legal, banking, or large corporate environment.
- Proficient in operating mail, reprographics, and digital mail equipment.
- Strong written and verbal communication skills, including professional email and phone etiquette.
- Excellent organizational skills and attention to detail.
- Proven ability to meet deadlines in a fast-paced environment.
- Strong problem-solving skills and the ability to escalate issues when necessary.
- Must be self-motivated, team-oriented, and capable of working with diverse groups.
- Ability to handle multiple tasks and prioritize effectively.
- Comfortable lifting up to 50 lbs. on a regular basis.
