Job Description

Harvard Resource Solutions is seeking an IP Litigation Secretary for our law firm client in Ann Arbor, MI on a direct hire basis.


Hybrid Schedule : 4 days in office for the first 60 days. 3 days in office after that.


Job Description:

Under the Office Administrator's guidance, the IP Litigation Legal Secretary/Practice Assistant provides administrative support to attorneys. They must be professional, proactive, and skilled in anticipating attorney needs, formatting legal documents, and managing calendars. Proficiency in MS Office Suite, Nuance, and document management systems is essential.


Responsibilities:

  • Support IP litigation attorneys in preparing pleadings, discovery, and court filings.
  • Manage documents for electronic filing in Federal and Appeals Courts.
  • Assist in post-grant patent proceedings before PTAB and TTAB.
  • Facilitate filings with the International Trade Commission.
  • Prioritize tasks and prepare correspondence and legal documents.
  • Manage attorney calendars and litigation deadlines.
  • Assist with trial support and maintain litigation binders.
  • Proofread and edit documents for accuracy and professionalism.
  • Handle phone calls, greet visitors, and maintain office procedures.
  • Coordinate appointments, travel, and billing tasks.
  • Maintain organized files and ensure confidentiality.
  • Perform general office duties and interact professionally with internal and external contacts.


Qualifications:

  • Minimum 5 years of experience as a Litigation Legal Secretary.
  • College degree or equivalent work experience required.
  • Advanced use of MS Word and Outlook, with the ability to learn new software quickly.
  • Ability to work with multiple attorneys and prioritize assignments.
  • Experience with Federal Courts litigation preferred.
  • Familiarity with PTAB, TTAB, and ITC matters preferred.
  • Strong communication and organizational skills.
  • Ability to work independently, handle confidential information, and meet deadlines.
  • Proficiency in electronic court filing and document management systems.
  • Capacity to manage multiple tasks and work with multiple attorneys.
