Workplace Services Coordinator - Front Desk

Location: Chicago, IL (333 West Wolf Point Plaza, 60654)

Schedule: Full-Time, Onsite (Monday–Friday, 8 hours/day, occasional overtime after 5 PM)

Duration: Contract (02/01/2025 – 05/01/2025, with possible extension)

Start Date: ASAP

As the Workplace Services Coordinator - Front Desk , you’ll play a pivotal role in creating a positive first impression for employees, guests, and clients. You’ll be the heart of our front desk operations, providing exceptional service and support while ensuring smooth daily office functions.


Key Responsibilities:

  • Serve as the face of the office, greeting and directing guests with professionalism and warmth.
  • Manage visitor check-ins, assign temporary and guest badges, and maintain the visitor log system.
  • Assist internal teams with Workplace Services needs, responding promptly via email and Slack.
  • Pre-register guests for meetings, events, and interviews, ensuring seamless experiences.
  • Conduct daily checks of temporary access cards, track assignments, and coordinate with the security team for lost/damaged cards.
  • Communicate maintenance needs to building management and follow up on resolutions.
  • Provide reminders and updates through Slack and assist with general office upkeep.


What We’re Looking For:

  • Outstanding interpersonal and communication skills – bubbly, outgoing, and dependable.
  • Professional experience in a customer-facing role, ideally in luxury hospitality.
  • Proficiency with Google Calendar, Gmail, Slack, and MacBook usage.
  • Strong verbal and written communication skills with attention to detail.
  • Dependable and organized with the ability to follow instructions.
