About the Role
We are seeking an Executive Assistant to the CTO who will play a critical role in ensuring our technology leader’s time and energy are focused on driving strategic objectives and delivering innovative solutions. This role requires an organized, proactive professional who can serve as a trusted gatekeeper, optimizing workflows, managing communication, and supporting critical initiatives. Reporting directly to the CTO, you will manage day-to-day operations and help streamline projects and priorities, enabling our technology team to stay focused on advancing our capabilities.
Responsibilities
- Serve as Gatekeeper for the CTO’s Time
- Act as the primary point of contact for scheduling and inquiries, ensuring efficient time allocation to high-impact activities.
- Proactively address potential conflicts and maintain seamless coordination with stakeholders.
- Implement systems to protect the CTO’s time, including prioritizing tasks and setting boundaries.
- Calendar and Task Management
- Manage and optimize the CTO’s calendar to align with strategic goals, project deadlines, and team needs.
- Track and manage action items, ensuring timely follow-up and completion.
- Communication Management
- Act as a liaison for the CTO, handling emails, messages, and correspondence with precision and discretion.
- Draft, review, and send communications on behalf of the CTO as needed.
- Meeting Preparation and Follow-up
- Prepare detailed agendas, briefing materials, and follow-up documentation for meetings.
- Attend key meetings, capture notes, and provide actionable summaries to ensure deliverables are met.
- Strategic Project Support
- Assist with tracking and managing progress on high-priority technology initiatives.
- Identify workflow inefficiencies and propose solutions to increase team productivity.
- Travel and Event Coordination
- Plan and manage complex travel arrangements for conferences, on-site visits, and team events.
- Support logistics for technology team events and meetings.
- Relationship Management
- Maintain and strengthen relationships with key stakeholders, fostering effective communication across teams and external partners.
- Proactively identify and manage networking opportunities aligned with the CTO’s objectives.
Qualifications
- Proven ability to act as a gatekeeper for executive time and energy, with strong organizational skills.
- Exceptional communication and stakeholder management skills, with the ability to influence and align priorities across teams.
- Proactive problem-solver with the ability to work autonomously and deliver results in a fast-paced, lean environment.
- Experience managing calendars, projects, and communications for a senior executive, preferably in a technology-driven environment.
- Strong technical aptitude with proficiency in tools such as Google Workspace, Slack, Asana, or similar platforms.
- High degree of professionalism and discretion in handling sensitive information.
- Adaptable and flexible, with the ability to manage multiple priorities in a dynamic environment.
