Position Description
We have a terrific opportunity for a skilled Document Controls Specialist to join our Factory Infrastructure Engineering team in Texas. This position will provide a high level of customer service to staff, vendors, business partners and guests while at times, being the client interface.
Day to Day
90% working with contractors through Aconex
10% improvement of department
• Design change management coordination
• Improve on data tracking tools and organization
• Organize large scale meetings and ensure team preparedness
• Ensure proper hand-off from scoping to design to construction
• Construction Documentation/Administration Phases tasks include file sharing, print coordination, logging RFIs & submittals, QA/QC documents stamping and coordination
- Managing contractors that are onboarded, submittals, getting all packages for construction out to the field in a timely manner
- Daily processing of documents, dealing with vendors/subcontractors, QA/QC of drawings, process improvements
Must Haves
• 3+ years of experience in an administrative capacity preferably with an architecture, design or construction firm.
• Bachelor's Degree (Construction management preferred) or equivalent of relevant experience and evidence of exceptional ability.
• Ability to effectively prioritize with strong time management skills in a fast-paced environment.
• Superior verbal and written communication skills.
• Must be highly organized with a strong attention to detail.
• High level of professionalism and strong sense of urgency.
• Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
• Proficiency in Bluebeam, Aconex, PlanGrid, Documentum, and MS Project strongly preferred.
• Ability to work with minimal guidance; Proactive, motivated self-starter.
• Proficiency with conferencing systems
• Flexibility and proven ability to handle and manage frequent changes effectively and efficiently.
