An established Certified Public Accounting firm located in West Palm Beach is dedicated to providing excellent accounting solutions in an energetic and fast-paced environment. The firm is currently seeking an Office Administrator to join their team. This role involves a variety of administrative and clerical tasks, including providing support to clients and staff, assisting with daily office needs, and managing general administrative activities.
Job Responsibilities
- Professional phone etiquette
- Fluent in English (bilingual is a plus).
- Organize and schedule appointments.
- Write and distribute mail, email, correspondence memos, letters, faxes, and forms.
- Draft and/or edit correspondence and other formal documents.
- Maintain both physical and electronic filing systems.
- Order office supplies and research new deals and suppliers.
- Maintain contact lists in Outlook and client databases.
- Act as the point of contact for internal and external clients.
- Assemble client financial and tax documents.
Job Requirements
- High school diploma with 2-4 years of experience in a professional environment; experience in an accounting firm is a plus.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, such as printers and fax machines.
- Proficiency in MS Office (MS Excel and MS Outlook , in particular).
- Flexible schedule and availability to work additional hours when necessary.
- Strong attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Exceptional organizational skills with the ability to multitask.
- Ability to work well under minimal supervision.
- Ability to proof work for errors or discrepancies.
- Must display a professional and positive attitude.
Compensation : $20 - $24 per hour, plus bonus. Overtime is expected.
