KEY RESPONSIBILITIES:
Provide high-level administrative support by performing clerical functions such as greeting/directing visitors, answering telephone, distributing mail/faxes/copies, and handling information requests.
SUPERVISION:
Incumbent reports directly to the Bills Payable Manager, and does not supervise other employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Operate telephone system to answer, screen and forward calls, provide information, and take messages;
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations;
- Collect, sort, distribute and prepare mail, messages, and courier deliveries;
- Transmit information or documents to customers, vendors, and/or company locations using computer, mail, or facsimile machine;
- Provide information about establishment such as location of departments or offices, employees within the organization, or services provided;
- Receive, place, and log special orders for parts and/or materials from stores;
- Receive and date stamp customer payments, and organize/maintain other customer related documents;
- Perform special projects and other duties as assigned from multiple departments.
Requirements CONDITIONS OF EMPLOYMENT:
- Six months to one year of related experience preferred;
- High school diploma or GED equivalent preferred;
- Satisfactorily pass a pre-employment drug test;
- Satisfactory Motor Vehicle Report must be obtained by applicant and submitted for approval prior to hire date. Satisfactory driving record must be maintained.

- Ability to take care of the customers' needs (internal and external) while following company procedures;
- Ability to complete assigned tasks under stressful situations;
- Serve as back up and cross train for all Receptionist duties;
- Regular and consistent attendance.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT:
- Able to lift up to 50 lbs. unassisted or greater than 50 lbs. with assistance;
- Able to drive a vehicle;
- Work environment involves minimal exposure to physical risks, such as proximity to office equipment and household type chemicals;
- Able to properly utilize office equipment such as computer, phone, fax, copier, scanner, etc.;
- Frequently required to sit for long periods of time;
- Occasionally walk, stand, reach, lift, carry, bend, kneel, push, pull, crouch, squat, bend, twist, and stoop;
- Also required to climb, balance, talk, speak, and hear;
- Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus;
- Must have considerable mobility;
- Must be able to read and speak English sufficiently to converse with general public, to respond to others, and to make entries on reports, logs, and records;
- Follow all company policies/rules including safe driving policies and procedures and report any and all accidents / injuries immediately to management.
