Description ESSENTIAL FUNCTIONS : - Insure and maintain confidentiality of all accessed information including employment files.
- Manage communication center. Greet visitors and vendors and notify appropriate personnel. Answer incoming calls, screen and route calls to appropriate personnel, maintain accurate daily call log, note messages and distribute to appropriate receivers. Coordinate with all areas and employees to ensure efficient flow of information coming into and going out of the company as well as moving internally between individuals and areas.
- Manage petty cash fund, including, but not limited to, disbursing, reconciling and completing monthly reports.
- Manage outgoing mail requirements. Receive and sign for incoming parcel post. Notify appropriate personnel to pick-up packages or distribute. Direct truck drivers and coordinate shop orders to ensure they reach appropriate destinations.
- Follow verbal and written instructions to complete typing, copying, editing and formatting projects in support of Project Management, Accounting, Quality Control, Human Resources, Estimating, Production and Production Control departments. Maintain and update sign-in sheets.
- Assist as back-up for miscellaneous correspondence requirements. Assist with keypunch responsibilities including, but not limited to, timecards and purchase orders.
- Completes monthly purchase order report and files purchase orders.
- Perform as back-up for Executive Assistant in times of absence or overflow.
- Monitor office supply usage, research vendors, reorder as necessary and manage inventory levels. Document usage and compile accounting report per department. Organize and maintain storage areas.
- Organize and maintain lobby and work area in a neat, professional manner. As appropriate decorate for seasonal events.
- Effectively communicate changes in priorities or completion dates due to unscheduled projects of higher priority or urgency.
KNOWLEDGE AND SKILLS: - Able to understand, interpret and communicate complex ideas, issues and instructions.
- Capable of quality assessment, trouble shooting, visualizing the finished project and incorporating improvements.
- Accurate knowledge, understanding and efficient use of applicable software packages.
- Ability to coordinate multiple projects to meet business requirements and schedule workflow to achieve optimum output.
- Demonstrates high degree of professional behavior, appearance, work ethic, attention to detail, honesty and reliability.
- Demonstrates ability to manage stress constructively and maintain professional, positive, even temperament during periods of frustration, ambiguity and change. Demonstrable skills in interpersonal communication and conflict management.
