POSITION: Director, Finance & Administration

DEPARTMENT: Finance & Administration 

REPORTING TO : Chief Financial Officer & COO


SUMMARY OF POSITION:

The Director of Finance & Administration has a critical leadership role and is responsible for managing the organization’s financial health, operational efficiency, and compliance. Reporting directly to the CFO/COO, this position ensures seamless execution of accounting functions, payroll, reporting, and audit readiness, contributing to the success of the organization’s mission and strategic goals.


Key Responsibilities


Financial Reporting :

  • Develop comprehensive, accurate, and timely financial reports for internal and external stakeholders.
  • Prepare budgets, projections, and financial analyses to support long-term planning.
  • Ensure compliance with government and regulatory requirements, including Form 990, Form 5500, and A-133 audit reports.
  • Monitor cash flow and investment performance.


Payroll, Time, and Benefits Administration

  • Oversee end-to-end payroll processing, ensuring accuracy and compliance with policies.
  • Collaborate with HR to manage timekeeping and employee benefits.


Accounts Payable & Receivable :

  • Ensure timely and accurate payment of invoices, vendor contracts, and employee reimbursements.
  • Manage accounts receivable, including dues, grants, sponsorships, and donor-designated funds.


Audit Coordination :

  • Act as the primary liaison with external auditors during audits and ensure all documentation is accurate and submitted promptly.
  • Prepare detailed trial balances, reconciliations, and audit schedules in line with U.S. GAAP.


Compliance and Special Projects :

  • Ensure all financial operations comply with organizational policies and regulatory standards.
  • Lead and participate in special finance and administration projects as assigned.


Qualifications:

  • Bachelor’s degree in accounting required; Master’s degree and CPA certification preferred.
  • 5-10 years of progressive accounting experience, with knowledge of computerized accounting systems.
  • Strong organizational, analytical, and communication skills.
  • Proactive, strategic thinker with a hands-on approach to problem-solving.
  • High standards of integrity, credibility, and a commitment to excellence in fiscal management.
