As we continue to scale, we’re looking for a highly organized and proactive Personal Assistant (PA) to support our CEO.


Role Overview:

 As the Personal Assistant to the CEO at Blkbox.ai, you will play a crucial role in providing high-level administrative and organizational support. This role requires exceptional organizational skills, strong attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will be proactive, adaptable, and thrive in a dynamic, fast-paced environment while ensuring the CEO’s day-to-day activities run smoothly.


Key Responsibilities:


Executive Support:

  • Manage the CEO’s schedule, calendar, and appointments, ensuring optimal time management and prioritization of critical tasks.
  • Coordinate meetings, including preparing agendas, materials, and following up on action items.
  • Assist with email management, including prioritizing messages, drafting responses, and organizing correspondence on behalf of the CEO.


Travel & Logistics Management:

  • Arrange and manage detailed travel itineraries and accommodations for the CEO.
  • Ensure all travel details are well-organized and communicated effectively to ensure a seamless experience.


Communication & Coordination:

  • Act as the primary point of contact for the CEO, maintaining professionalism and discretion in all interactions.
  • Liaise with internal and external stakeholders, ensuring clear and effective communication on behalf of the CEO.


Task Management & Reporting:

  • Track deadlines, projects, and priorities for the CEO, ensuring timely completion of tasks.
  • Assist in preparing presentations, reports, and maintaining organized records.


General Administrative Duties:

  • Handle document preparation, data entry, and digital file organization for the CEO.
  • Support virtual meetings by coordinating logistics and ensuring necessary resources are available.


Requirements:


Experience:

  • 2+ years of experience in a personal assistant, executive assistant, or similar support role, preferably supporting senior executives in a fast-paced environment.

Organizational Skills:

  • Strong organizational and time management skills, with the ability to manage multiple priorities effectively.
  • Communication:
  • Excellent written and verbal communication skills, with a friendly and professional demeanor.

Technical Proficiency:

  • Proficiency with office tools (e.g., Microsoft Office, Google Workspace) and willingness to learn new software tools as needed.

Adaptability & Initiative:

  • A proactive approach with a willingness to take on new challenges and adapt to changing priorities.

Attention to Detail:

  • High attention to detail, ensuring accuracy in documentation and scheduling.
