General Description:

This position provides administrative and clerical support and is a team member in the interactions and interface between customers, the field sales team, and operations support to ensure excellent service and overall customer satisfaction. Assisting in the warehouse on occasion.

Key Skills and Abilities:

  • High School Diploma or equivalent.

  • Proficient in computer use, including intermediate knowledge of Microsoft Windows, Windows applications, and ERP order entry systems (training on JD Edwards will be provided).

  • Solid understanding of mathematical concepts such as fractions, percentages, and ratios, with the ability to apply them accurately in practical situations.

  • Capability to perform prolonged data entry and writing tasks at a desk or computer.

  • Physical ability to move safely across uneven indoor and outdoor terrain.

Key Personal Attributes:

  • Excellent interpersonal and communication skills (verbal, written, and digital) to interact effectively with customers, team members, and management.

  • Strong organizational skills with a keen eye for detail, multitasking, and the ability to prioritize assignments.

  • Professionalism in addressing inquiries or complaints from employees, customers, suppliers, or regulatory agencies.

  • Fluency in reading, writing, and speaking English.

  • Be hands-on in the warehouse when needed.

Specific Responsibilities and Key Deliverables:

  • Handle electronic order entry and processing using JD Edwards ERP software, including sales orders, shipping documents, and invoicing.

  • Respond promptly and accurately to customer sales inquiries.

  • Document and process product use recommendations as part of the support team.

  • Enter and process customer orders in JDE, ensuring compliance with the Timely Transaction Processing (TTP) policy.

  • Submit and code bills and invoices to the Accounts Payable department for payment.

  • Collaborate with the Sales and Operations team to maintain adequate inventory levels and order products as needed.

  • Assist in the warehouse as needed on occasion.

  • Conduct monthly inventory cycle counts and support annual full inventory reconciliations.

  • Assist the Sales Team with accurate customer pricing and resolve inquiries or concerns promptly.

  • Prepare standard and custom sales/use reports as management, sales, or customers request.

  • Support the branch manager with administrative tasks, including onboarding paperwork for new employees and maintaining employee DOT files.

  • Provide general administrative support to the office team, ensuring quality customer service, timely completion of deadlines, and adequate sales support.

  • Assist the Sales and Operations Manager with additional tasks as requested.

Compensation and Benefits:

  • In compliance with all states and cities requiring transparency of pay, the base compensation for this position ranges from $18.99 to $25.34/hr per hour. Note that wages may vary based on location, skills, and experience. This position is eligible for vacation, holidays, health, dental, vision, mental health, retirement plans, and other benefits.
