Records Analyst (Casual Employee)

Position Summary:
Provides technical and functional analysis and support to Port Houston'srecords management programs. Performs operational and administrative duties ofthe Records and Information Management (RIM) department.
KeyResponsibilities/Duties:

  • Provide records management support to Port Houston staff and the public (75% of time in this function)
  • Evaluate submitted records, scan and index the electronic version, and file the hardcopy
  • Analyze records to determine and apply content types and metadata
  • Administer the offsite records storage program: inspect and categorize circulation control forms and inventories; direct deliveries; communicate with vendor; and instruct staff
  • Manage electronic and hardcopy records repositories
  • Support the development and documentation of streamlined document and records management processes
  • Maintain database for Port Houston file numbers and descriptions
  • Search for and retrieve requested records, using knowledge of current and legacy indexing systems
  • Collaborate with and coach departmental records liaisons
  • Assist the Records Manager with activities including training, records programs, SharePort implementation, and responding to litigation and public information requests
  • Perform department operational and administrative duties (25% of time in this function)
  • Review invoices, prepare check requests, prepare record storage or destruction forms, type labels, answer phone, desk, and email inquiries, file hardcopy records, and maintain stock of supplies and equipment
  • Act in accordance with Port Houston core values (respect, excellence, accountability, diligence, and you)
  • Perform other duties as required by the Records Manager and requested by other staff
Education/Experience:
  • High school diploma or GED equivalent required
  • Associate degree in Business Administration, Communications, or related major from an accredited academic institution preferred
  • 3 years of document control or records management experience required
  • Certified Records Analyst preferred
  • Experience with Texas government records preferred
Knowledge,Skills, Abilities and Behaviors:
  • Knowledge of library and information management, including content/function type,
  • retention schedule use, naming conventions, metadata use, and security rights
  • Analytical and research skills; ability to conduct thorough, efficient information searches successfully

  • Visual acuity and ability to discern that colors and words are scanned correctly
  • Ability to rapidly attain a thorough understanding of the records of Port Houston and its business units, including the legacy records system
  • Must be able to pass the background check required to obtain a TWIC (Transportation Worker Identification Credential)
