As the Project Coordinator, you’ll play a crucial role in dispatching, invoicing, and helping run projects, handling all organizational and administrative aspects of work orders. You'll work closely with the Service Manager(s).
Project Coordinator Responsibilities:
- Dispatch service work orders efficiently, ensuring timely response to client needs.
- Handle invoicing for service work orders, ensuring accurate billing and tracking of costs.
- Attend project turnover meetings, assisting the Service Manager in acquiring, interpreting, and documenting specific project information.
- Input subcontracts and purchase orders into project management and accounting software.
- Support the Service Manager with manpower allocations, dispatching, and tracking of service technicians.
- Organize and prepare project status meetings as needed, maintaining accurate and detailed meeting minutes.
- Update and maintain work order statuses in the appropriate software modules.
- Prepare project-specific forms required by clients and ensure all documentation is accurate.
- Coordinate any special training required for specific projects.
- Assist with updates to project budgets and schedules for approved change orders.
- Obtain all necessary permitting for projects.
- Monitor and track Time & Materials (T&M) tickets to ensure proper costing, billing, and inventory management.
- Perform job closeout functions, including organizing O&M manuals and warranty information.
- Assist Service Technicians with punch list tracking and documentation.
- Arrange and oversee all required testing and reporting for projects.
- Maintain all project-related documentation and ensure proper filing, including emails.
- Manage van stock and inventory processes, keeping accurate records of stock levels.
- Assist with collections and accounts receivable follow-up.
- Set up, schedule, and manage warranty service calls.
Project Coordinator Qualifications:
- Previous experience in a service coordination role, ideally within the electrical contracting industry. At least 2 years of construction experience is required.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Proficiency in project management and accounting software.
- Excellent communication skills, both written and verbal.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work effectively in a fast-paced environment and collaborate with various teams.

Compensation: $65,000 -$75,000 + discretionary annual bonus
