JOB SUMMARY
The Marketing & Sales Assistant, under the direction of the Chief Marketing Officer, will work on a part-time basis to support the Relocation Coordinator and the Assistant Directors of Sales with administrative tasks related to tours, settlements, selections, move-ins, and relocations. This role will offer development opportunities in marketing and sales functions, and have the potential for expanded scope and responsibilities over time.
ESSENTIAL JOB FUNCTIONS
- Maintains the standards manual by neighborhood and ensure it is aligned with the Facilities and Material Management Departments. Update when products are discontinued as needed.
- Prepares all Deposit Reservation Letters for incoming residents at the conclusion of tours and confirmation of their respective choice.
- Monitors and maintains the admission application log, ensuring timely approvals of Medical & Financial applications.
- Serves as a liaison with the Facilities & IT Departments to ensure keys & PET transmitters are delivered in time for settlement.
- Prepares the settlement documents for all upcoming settlements, along with all handouts given to new residents as appropriate.
- Supports the Relocation Coordinator in ordering and delivering all goodie bags and lunches on the move-in day, insert resident name labels in the mail room and outside their apartment door.
- Follows up with all new move ins within 10 days and report any outstanding or missed items to Facilities and follow up as needed.
- Utilizes the Marketing CRM to record all transactions.
- Serves as the first point of contact for resident internal moves, gives tours for internal moves and assists with Open Houses as opportunities arise.
- Secures decisions for internal moves between IL to IL by obtaining signatures on appropriate forms.
- Coordinates moves for model home as needed.
- Maintains confidentiality of all pertinent resident information, releasing information only in accordance with established policies
- Maintains positive interactions with residents, guests, and employees
- Assists with and performs other organizational and administrative duties as assigned
QUALIFICATIONS
- High School Diploma/GED, required graduate; Bachelor's degree, preferred
- Two (2) or more years of experience in sales/marketing, or progressively responsible administrative assistant roles, required; experience in a senior living or health care setting, preferred
- Valid Commonwealth of Virginia Driver's License and Notary Public designation or ability to obtain Notary designation, required
- Experience with a customer relationship management (CRM) system, preferred

- Excellent organizational and administrative skills and the ability to handle multiple priorities simultaneously in a fast-paced environment
- Ability to maintain professional working relationships and work tactfully with employees, residents, prospective residents, family members, visitors, and the general public
- Ability to take initiative to solve problems on behalf of residents/prospective residents and to exercise sound professional judgment
- Ability to communicate effectively, both verbally and in writing
- General knowledge of public relations, marketing techniques and understanding of issues facing seniors and their families during significant life transitions
- Ability to work as a team or independently and be self-motivated and goal oriented with shared accountability
- Proficiency with Google Suite and Microsoft Suite (Word, Excel, PowerPoint)
- Ability to conduct internet research and learn proprietary software including customer relationship management
- Knowledgeable of retirement living and continuing care concepts
- Ability to spend considerable portions of the day standing and walking
- Ability to work flexible hours (M-F between hours of 8:30am-5pm)
