Pay Range: $70,000-85,000 annually, depending on experience and certification
Job Summary:
We are seeking a highly organized and proactive Property Management Specialist to oversee the daily operations and maintenance of healthcare facilities. This role ensures that all properties, including clinics, and administrative offices, are maintained to the highest standards, supporting the safe, efficient, and compliant delivery of healthcare services. The ideal candidate will have a strong background in property management, knowledge of healthcare-specific regulations, and a commitment to creating a safe and comfortable environment for patients and staff.
Key Responsibilities:
  1. Facility Operations :
  • Manage the daily operations and upkeep of healthcare facilities, ensuring all buildings and systems (HVAC, electrical, plumbing, etc.) are functioning efficiently.
  • Coordinate routine maintenance, emergency repairs, and equipment servicing in a timely manner.
  • Conduct regular inspections to ensure the facility complies with health, safety, and building codes.
  • Healthcare Compliance :
    • Ensure all properties meet healthcare-specific regulations, including OSHA, ADA, Joint Commission standards, and infection control protocols.
    • Maintain documentation of compliance with regulatory inspections and audits.
    • Collaborate with clinical staff to address facility needs that impact patient care and safety.
  • Vendor & Contractor Management :
    • Oversee vendor contracts for cleaning, landscaping, waste management, and security services.
    • Negotiate contracts and monitor vendor performance to ensure quality and cost-effectiveness.
    • Respond to emergencies, coordinating contractors and service providers as needed.
  • Tenant & Occupant Relations :
    • Act as the primary point of contact for healthcare facility occupants, addressing concerns, maintenance requests, and inquiries promptly.
    • Collaborate with medical and administrative staff to resolve facility-related issues.
    • Ensure patient and staff comfort by maintaining a clean, safe, and welcoming environment.
  • Financial Oversight :
    • Assist with property budgeting, tracking expenses, and managing operational costs.
    • Approve invoices and monitor spending to ensure alignment with financial goals.
    • Provide input on capital improvement projects and forecast facility expenses.
  • Space Planning & Utilization :
    • Support space planning for healthcare operations, ensuring efficient layouts that align with patient care goals.
    • Coordinate with departments to facilitate office moves, expansions, or renovations.
  • Lease Management:
    • Lease renewal/re-negotiation support
    • Sublease additional space, where appropriate to strategically relevant healthcare tenants
    • Strategically address space requirements and optimization
    • Prepare and plan relocation/growth options to optimize Provider headcount and staffing at our locations.
    • As necessary, prepare budgets for build-out cost, plan and manage necessary vendor relationships.
    • Oversight and alignment of the annual maintenance and asset management.
    Qualifications:
    • Experience :
      • Proven experience in property management, preferably in healthcare facilities or a similar highly regulated environment.
    • Knowledge :
      • Familiarity with healthcare facility operations, including regulatory standards (e.g., Joint Commission, ADA, OSHA).
      • Understanding of building systems (HVAC, plumbing, electrical) and maintenance best practices.
    • Skills :
      • Strong problem-solving, organizational, and multitasking abilities.
      • Excellent communication and interpersonal skills to collaborate with clinical and non-clinical staff.
      • Proficiency in property management software and tools.
    • Education :
      • Bachelor's degree in real estate, facilities management, business administration, or a related field (preferred).
      • Certifications in property management (e.g., CPM, FMP) or healthcare facilities management (e.g., CHFM) are a plus.
